Position Title: Front Office Support Staff
Position: PART TIME Mon-Thurs 745 AM - 430PM
Pay: $20-25/hr based on experience

Job Summary:
The Front Office Coordinator represents the practice in all facets of patient services, which may include, but is not limited to; greeting patients, answering the telephone, scheduling appointments, presenting treatment plans, assisting with insurance benefits and communicating with insurance companies, maintaining patient records, coordinating patient flow and cleaning of the office to maintain a beautiful clean work environment for staff and patients.
Qualifications:
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below.
Essential Duties:
- Greet visitors, patients and parents entering the practice and alerts the appropriate staff of patient arrivals. Facilitate check in process and help patients with iPad check in process. Collect payment day of procedure. Monitor the safety of patients in reception area and answer questions they may have.
- Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
- Schedules and adjusts patient appointments to maximize the patient care and reach practice profit target. Manages the daily, weekly, and monthly calendar to meet the practice production and collection goals.
- Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, e-mail address, insurance information, etc.). Continually checking Lighthouse web portal and contacting patients due for past recall and treatment appointments.
- Communicates with parents regarding financial options. Reconciles financial records by receiving and recording patient payments.
- Uses computer or fax to transmit information or documents when requested.
- Keeps the front desk and reception areas clean. Organizes magazines, books, video games.Vacuuming and mopping front area at the end of each day. Dusting blinds as necessary. Cleaning the glass windows in reception area daily.
- Keep the beverage station clean and well stocked
- Keep the patient bathroom clean and restocked. It will be checked a minimum of two times a day and at the end of the day.
- Helps Dental Assistant with removal of trash at end of day to designated trash receptacle located in the back of the office
- Times when the Dental Assistant or Hygienist is behind or requested, help with patient care i.e. taking xrays, entering info in computer, oral hygiene instruction, sterilization needs, restocking
- Performs necessary duties associated with checking patients in and out. Presenting treatment plans. Record treatment information, enter planned treatment for next appointment.
- Produces the doctor’s call list and provides to the doctor each day, as necessary.
- Calls the patients 2 days ahead of time to confirm scheduled appointment.
- Monitors the schedule regularly, adjusts the schedule as necessary.
- Keeps staff and doctor informed of scheduling problems, issues or concerns
- Registers new patients, provides necessary paperwork (welcome letter, HIPAA documents) and ensures all required documents are completed by the parent.
- Reviews the insurance plans that are used most frequently with parents to understand various nuances of each plan in order to communicate more effectively.
- Determines insurance eligibility/verification, limitations and payment estimates necessary to facilitate financial arrangements and records accurate notes in patient charts.
- Assist with account receivables and accurately enters notes in patients charts accordingly.
- Educates parents, as necessary regarding insurance, their responsibility and basic terminology.
- Process and submit claims electronically on a daily basis.
- Monitors and follows up on outstanding insurance claims.
- Sends information as requested by insurance companies such as; x-rays, narratives, intraoral photos and other documentation for processing the claim when applicable.
- Provides insurance pre-determination documentation to parents, contacts the parent to make financial arrangements and schedules treatment.
- Handles all inquiries concerning insurance on a regular basis.
- Prepares financial arrangements for parent.
- Coordinates financial arrangements based on practice’s internal financial guidelines.
- Records parent’s financial discussions/emails.
- Presents treatment plan using models, diagrams as necessary, and provides parent with related literature.
- Reviews patient records for incomplete treatment.
- Identify patients in the schedule who are a financial concern, note payment issues and arrange to speak with parent prior to child’s appointment.
- Contacts parents who have not kept their financial agreement to collect payment in accordance with the practice’s internal financial guidelines.
- Prepares and mails statements each month on a regular billing cycle.
- Solidifies financial agreement with parent, such as payment amount and schedule.
- Follows through with correspondence regarding collection when unable to contact parent over the telephone.
- Prepares and sends uncollected accounts to collections, with employer’s approval and follows through as needed.
Knowledge/Skills/Abilities:
- Knowledge of English composition, grammar, spelling and punctuation
- Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, scanners and computer software.

Education/Experience:
- High school diploma or equivalent
- Minimum of ____5____(s) relevant experience in the dental profession.
