SUMMARY: The primary responsibility of the Planning Department Tech is to perform varied administrative and technical work relating to land use and permitting and provide assistance to the Planning Department staff. The position will initially work under general supervision of the Tribal Planner and is expected to become increasingly knowledgeable and carry out assignments with increasing independence.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Assist in the administration of Planning Department goals, objectives, policies and priorities.
· Schedule appointments for Planning department staff. Maintain staff calendar.
· Serve as a liaison to visitors, outside agencies and the public; answer emails, phone calls and greet visitors, directing to appropriate staff when necessary.
· Execute the efficient administration of construction related change orders, contract documents, pay applications, bid specifications, and other related items.
· Shall be responsible for the issuance of all LTBB construction permits utilizing Building Dept database.
· Assists in the administration of the tribal planning, building and zoning regulations.
· Research, summarize and analyze information; calculate statistics and compile data to prepare special and recurring reports; select relevant information from a variety of sources.
· Receive and route incoming mail, mail correspondence.
· Transcribe meeting minutes.
· Perform clerical functions, type letters and memos, edit wording without changing intended message, post and distribute communication/information.
· Process invoices and purchase orders.
· Input data into spreadsheet format as directed.
· Prepare slide shows and presentations utilizing dept statistics and information about ongoing projects
· Organize and file all documents relating to ongoing construction project and track construction milestones for projects.
· Regularly update the GIS/Planning Dept Land Atlas to add new properties
· Attend meetings and take notes on behalf of Planning Director as needed.
· Under general instructions from supervisor, regularly prioritize and arrange meetings and conferences; arrange with accounting necessary travel reservations and itineraries; anticipate and prepare research materials as needed.
· Perform other similar or related duties as requested or assigned.
EDUCATION AND EXPERIENCE: Associates degree in related field and 3 years of experience working in the office setting. Experience in a construction related office preferred. Combination of relevant education and experience may be considered.
KNOWLEDGE, SKILLS & ABILITIES: Must have knowledge of office procedures, methods, and equipment including computers and advanced knowledge of applicable software applications such as word processing, spreadsheets, and databases- experience with BS&A software preferred. Must be able to demonstrate advanced knowledge of Adobe Acrobat Pro and Microsoft Excel as well as above average typing skills. General knowledge of construction related terminology preferred. Must demonstrate tact and diplomacy with visitors, other Tribal departments, elected officials, Tribal members, and project stakeholders. Provide excellent customer service to all Tribal and community members and other Tribal staff. Communicate clearly and concisely, both orally and in writing. Possess excellent written skills. Integrate into a team environment with an emphasis on flexibility and openness to new approaches. Ability to work in a fast paced multi-tasking environment.
CERTIFICATES, LICENSES, REGISTRATIONS: Must have valid driver’s license, reliable transportation and be insurable for duration of employment.
COMMENTS: Indian preference will apply. Individuals must pass a thorough background investigation.
ABOUT US: On Sept. 21, 1994, the Little Traverse Bay Bands of Odawa Indians (LTBB) was federally reaffirmed with the signing of Public Law 103-324. The Tribe is governed by a nine-member Tribal Council who serve staggered terms. The LTBB Government presently employs over 200 employees across more than 20 departments, ranging from Healthcare to Natural Resources.
