- Organize and schedule the business of the superintendent’s office; create and maintain a master calendar; resolve schedule conflicts; and apprise superintendent of current calendar data on a regular basis.
- Organize school visits, staff meetings, agendas, technology and superintendent presentations.
- Coordinates superintendent/CASE retreats.
- Prepare Board of Education meeting and workshop agendas.
- Manage Board of Education calendars and legal postings.
- Oversee Board of Education policy updates.
- Facilitate Board of Education meeting and workshop agenda and technology.
- Make and manage all travel arrangements for superintendent travel and for outside presenters.
- Model a high level of adaptability and flexibility in responding to changing priorities, deadlines and matters of urgency.
- Serve as the official “custodian of records;” process all requests for public information in a timely manner.
- Establish and maintain critical and sensitive communication with all levels of district personnel, public and private agencies, professionals and other officials. Maintains confidentiality in relationships with the pubic relative to the superintendent’s office and the Board of Education.
- Serve as a clearinghouse for a wide variety of correspondence directed to the office of the superintendent, including material for the Board report. Board packet, meeting and workshop agendas and materials posted on Board Docs.
- Develop a variety of correspondence; prepare reports and other materials requiring the use of sound independent judgment as to content, accuracy and completeness.
- Work with superintendent staff assistants in the organization and preparation Board of Education agenda and support material for meetings/work session called by the superintendent and Board of Education and post meeting dates/times in appropriate locations.
- Process all incoming correspondence to the Board of Education and prepare a weekly mailing packet of communication and district information.
- Prepare thank you/recognition letters on behalf of the Superintendent and Board of Education.
- Facilitate out-of-district meetings and conferences for the superintendent and the Board of Education.
- Follow Board of Education policies, department/building regulation and any other rules and regulations as may be established by central administration, department administration or building administration.
- Compile and manager superintendent and Board of Education budgets; prepare and process purchase orders, requests for payment and budget substitutions for the superintendent and the Board of Educations.
- Prepare quarterly expenditures/travel expenses for superintendent’s review and reconcile procurement card statement monthly and allocate changes to appropriate accounts for both superintendent and Board of Education. Manage Board of Education staff development budgets.

- Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire.

- High school diploma or equivalent
- Criminal background check required for hire
- Minimum of five years’ of experience in responsible secretarial positions (executive level preferred)
- Two years’ postsecondary education in secretarial training or related fields desirable
- Secretarial experience in education setting desirable
