At LIVE Hydration Spa Whitefish Bay, our mission is to help our community LIVE their best lives by delivering proactive wellness solutions including IV therapy, Hyperbaric oxygen, Botox, Fillers, Hormone therapy services, Weight loss programs, Lab draws, LED light therapy, Direct primary care & more!

We are seeking a permanent Spa Operations/Client Relations Specialist who will serve in a multi-faceted role supporting medical staff, and ensuring a first-class client experience.

The ideal candidate is a self-starter and TEAM player who enjoys meeting and working with new people, and can educate clients on the benefits of all wellness services we offer. Wellness, Nutrition, Service, or Med Spa experience is a bonus. Must be able to multi-task, be organized, and handle working in a dynamic, fast-paced environment.

Experience Required:

- Proven experience in a support role within the spa, medical clinic, hospitality industry, or small business- Strong organizational skills with the ability to multitask and prioritize effectively

- Excellent phone etiquette and communication skills

- Proficient in time management to ensure smooth operations and timely service delivery

- Basic math skills for handling financial transactions and managing budgets

- Knowledge of administrative tasks such as record-keeping and inventory management.

- Social Media experience

- Canva/excel experience

- Understanding of Medical Terminology preferred

Duties included but not limited to are:

Answering phone calls

Confirmation appointment calls

Patient follow-up calls

Patient scheduling

Calling clients with expired credit cards/missing payments

Social Media

KPI Reporting to the owner

Monitor business metrics

Inventory Management

Event Coordinating

The exact schedule is TBD but should include 3 days during the week and rotating weekend days (Sat and/or Sun). Candidate must have consistent weekend availability working at least 4 weekend days per month.

The Operations Manager will represent the following attributes:

1. Multi-tasking expert - The ideal candidate must be able to complete projects for owners in a timely manner while addressing staff, patients, and spa needs.

2. Technology Proficient – The ability to learn new software/technology is critical. Prior experience in working with EMR/POS systems, Canva, Microsoft, and Google Suite is a bonus.

3. Team Player – Must effectively work with owners, general manager, and staff to support growing business needs.

4. Be Awesome – High ethics and integrity and able to work independently and with a team.

5. Adaptable and Positive – Ability to maintain poise and a positive attitude in a dynamic and evolving business.

6. Applicants must have a passion for wellness and self-care.

Live Hydration Spa is open 7 days a week, 9-3 Monday, 10-6 T, TH, F, 8-2 Wed, Saturday 9-3 and Sundays 9-3.

Compensation:

This position is an hourly rate tips, bonuses, and commissions. Eligible for performance-based bonuses and other incentives as provided by ownership. Bonuses and tips are not guaranteed and may change.

Full-time growth opportunity available/benefit eligible based on performance.
