THE ROLE
Vibee is looking for a dynamic Project Manager to directly support our President in a range of critical business and development initiatives. This role is ideally suited for someone with a background in the music industry, who can bring their expertise in managing complex projects and relationships to our fast-paced environment. This position reports directly to the President, who leads our talent buying and business development efforts.
RESPONSIBILITIES
Including but not limited to:
Project Management and Coordination
- Act as the primary support to the President in managing day-to-day artist relations and development projects.
- Coordinate the President’s calendar, including scheduling meetings, confirming appointments, and ensuring smooth day-to-day engagements.
- Assist in preparing for presentations and pitches, managing logistics and materials needed for meetings with partners and stakeholders.
- Handle communication and coordination with internal departments and external partners to ensure project requirements are met.
- Manage specific projects from conception through completion as directed by the President, ensuring timely delivery and adherence to budget.
Administrative Support
- Manage all administrative tasks for the President, including document preparation, filing, and handling correspondence.
- Oversee travel arrangements, including booking flights, hotels, and local transportation as needed for business trips.
- Ensure all expenses are tracked and reported accurately, assisting with the management of budgets and financial records.
Stakeholder Engagement
- Maintain and nurture relationships with industry representatives, partners, and other stakeholders on behalf of the President.
- Support the President in negotiations and meetings by preparing necessary background information and documentation.
- Act as a liaison between the President and other departments, ensuring effective communication and alignment on business objectives.
Operational Excellence
- Monitor and manage the workflow of the President’s office, identifying opportunities for process improvements.
- Organize and maintain digital and physical files for easy access and efficient operation.
- Ensure compliance with all company policies and procedures, contributing to the overall operational success of the business.
QUALIFICATIONS
- 5 years’ experience in the music industry.
- Proven experience in the music industry, ideally as a talent assistant or junior agent.
- Strong organizational skills with the ability to handle multiple tasks and projects simultaneously.
- Excellent communication skills, both written and verbal, with an ability to communicate with a variety of stakeholders.
- High level of discretion and professionalism, capable of handling confidential information.
- Strong problem-solving skills and the ability to adapt quickly to changing priorities.
- Familiarity with industry standard software and tools, and adept at learning new technologies.
- Proficiency in Google Suite, Microsoft Office Suite including Powerpoint, and Asana.
- Must be motivated with an “Everything is possible” attitude.
- Must be an active problem solver, instilled with a sense of urgency for projects large and small.
WORK ENVIRONMENT
- Must be able to tolerate loud noise levels & busy environments
- May work in drastic temperature climates working onsite at our events
- Must be willing to work during evening and weekend hours, as required, to meet deadlines
- Must be willing and able to travel extensively both domestically and abroad
- Must be able to continuously stand or walk.
- Must be able to bend, squat, climb stairs and lift frequently
- Must be able to lift up to 20 pounds occasionally
- May occasionally walk on slippery or uneven surfaces
- Position will expose candidate to sensitive company information and so must maintain strict confidentiality
- Must exercise the utmost discretion in dealing with staff, vendors, and business associates regarding sensitive matters

Salary Pay Range: $70,000.00 - $85,000.00 USD
