JOB SUMMARY

Under general supervision of the assigned supervisor, the Senior Library Associate is responsible for delivering quality customer service that exceeds patron expectations.  Senior Library Associates are responsible for performing all duties in support of day-to-day operations of the Library Department assigned. 

The person holding this position is adept at processes within the assigned department and assists in the oversight of daily operations.   The person holding this position is support staff to senior management and acts as supervisor in the absence of the Library Manager and/ or department supervisor as assigned. 

This Senior Library Associate Position is assigned to the Department of Strategic Partnerships, which includes Regional Programming, Community Engagement and Community Outreach.  The person holding this position will support day-to-day operations of this department and other special projects as assigned.

 

ESSENTIAL JOB FUNCTIONS

  • Performs daily departmental administrative tasks; ability to create, edit, draft, and maintain documents such as partner agreements, contracts, MOUs, inventory lists, etc.
  • Ability to problem-solve issues and implement library policy and procedure as required; elevates issues to senior staff as necessary.
  • Ability to manage departmental needs, including: organizing and packing programming and outreach materials, managing inventory, communicating with branch staff on behalf of the department, and managing partner relationship needs.
  • Prepares, runs, and completes needed library reports; ability to oversee and assign work to solve issues.
  • Ability to supervise projects from start to finish; assists senior staff with ongoing departmental projects.
  • Ability to input outreach and programming events on the organizational calendar and room reservation system.
  • Ability to oversee the assigned department and function as assigned.
  • Ability to provide assistance with information inquiries and requests; guides customers and staff to appropriate resources and instructs in their use; assists and advises customers in making effective use of department services, materials, events, and other tools.
  • Markets department resources and events through timely communication; trains library staff on marketing materials, projects, and events through ongoing training and communication.
  • Represents LOPL at outreach and programming events as needed. 
  • Ability to drive library outreach vehicles to events and library locations for departmental needs.
  • Provides assistance in the area of coordinating outreach events, library programs, departmental inventory and distribution, and event logistics and needs.
  • Prepares, gathers, and formats information for internal and external distribution including writing memos, compiling data for reports, editing, and proofreading.
  • Coordinates and monitors the receipt of in-kind donations for reading challenge incentives.
  • Assists with tracking and reporting in Beanstack, the library’s reading challenge tracking system.
  • Performs other related duties as assigned. 

 

Qualifications


Education and Experience:

  • Requires a Bachelor’s Degree; three (3) years of experience in customer service or library-related setting; or equivalent combination of education and experience.

Additional Requirements:

  • Experience working in a library or educational environment is preferred.
  • Familiarity with today’s public libraries (services, materials, and programs).  
  • Proficiency with Technology and Software: The ideal candidate will demonstrate a strong familiarity with computers and a wide range of software applications. This includes expertise in Google Suite (Docs, Sheets, Slides, Gmail, Calendar, etc.) and experience with project management tools such as Asana, Trello, or Microsoft Project. Familiarity with customer relationship management (CRM) systems, data analytics platforms, and virtual collaboration tools (e.g., Zoom, Slack, Microsoft Teams) is highly desirable. The ability to quickly learn and adapt to new technologies and software is essential to excel in this role.
  • Reliable transportation to/from work.
  • Willing and available to work some evenings and weekends.
  • Bi-lingual (English and Spanish) is preferred.

Licenses or Certifications:

Valid driver’s license and insurability required.

PHYSICAL DEMANDS

Work is typically performed with the employee sitting at a desk, standing for extending periods, or bending/stooping. The employee must be able to lift and carry up to 50 pounds routinely, climb stairs, stand for extended periods of time, extended walking within and outside branch locations, reach, bend, and stoop. Full range of hand and finger motion is required for data entry purposes. If applicable, the ability to distinguish color is required. Additionally, the following physical abilities are required: 

 

  • Balancing: Maintaining body equilibrium to prevent falling while walking, standing or crouching on narrow, slippery, or erratically moving surfaces. The amount of balancing exceeds that needed for ordinary locomotion and maintenance of body equilibrium.
  • Climbing: Ascending or descending stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized.
  • Manual Dexterity: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
  • Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discrimination in sound. 
  • Kneeling: Bending legs at knee to come to a rest on knee or knees
  • Speaking: Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
  • Standing: Particularly for sustained periods of time.
  • Stooping: Bending body downward and forward by bending spine at the waist. Occurs to a considerable degree and requires full motion of the lower extremities and back muscles.
  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.

WORK ENVIRONMENT

Typical office/library environment. Some fluctuations in building temperature related to HVAC problems can cause uncomfortable periods of heat or cold.  Some periods of elevated noise levels. Some stress related to the type of work being performed may be encountered e.g., pressure related to periods of high-volume activity and multiple demands.
