What are the responsibilities and job description for the Program Manager position at Living at Reflections?
Job Duties and Responsibilities:
- Administrative supervision and ongoing training of Program Assistants at all Reflections facilities, including PA hire, onboarding, orientation, weekly scheduling of shifts, performance assessment and improvement, ensuring required legal and accreditation standards are met, compliance with company policies and procedures, and ongoing training.
- Partner with COO and CEO to design, then own, Reflections Program Assistant - Drug, and Alcohol Counselor training/internship program.
- Serve as the communication liaison between the PA Team, Clinical, Culinary, Admission, Detox, IOP/PHP, and Facilities staff.
- Lead the Monday-Friday 4 pm Pass down/shift change meeting.
- Carry out and ensure PA staff are trained on relevant health services protocols, common medications, and completion of common assessments such as CIWAs and COWS.
- Partner with Operations Manager to train all PA staff and ensure PA compliance with emergency procedures and equipment.
- Ensure PA’s are on-the-floor, circulating and interacting with clients, and making themselves available to assist clients with their needs and treatment. Ensure adequate client oversite, observation, and supervision at all times.
- Ensure all required PA documentation is completed daily (e.g., KIPU forms, shift notes, observation logs, medication documentation; laundry, light housekeeping, etc. ).
- Ensures the PA’s Joint Commission and State compliance regulations are met, or exceeded, by each member of the PA Team and provides the relevant Agency compliance reports to the COO.
- Approve all PA hours and time-off requests each pay period. Ensure time sheets/clock in and clock outs by PA staff are accurate and PAs are taking scheduled breaks and lunches.
- Ensure backup coverage in case of PA staff absences. Utilize internal resources (including self and other Residential, Detox, or IOP facilities) before reaching out to an outside vendor.
- Ensure all clients receive a thorough and adequate orientation to the program and facility.
- Assist Clinical Director in determining room assignments and executing room moves as necessary.
- Engage in recovery-oriented conversations with clients within the scope of one’s certification. Be a positive, recovery-oriented presence in the milieu.
- Facilitate on-time attendance by clients at all group and individual sessions.
- Facilitate groups in the curriculum as assigned and within the scope of one’s certification and competence.
- Ensure Weekly Client and Staff Program Schedule is completed and distributed to clients and staff. Ensure changes and updates are added to the schedule throughout the week. Ensure the schedule is accurately represented each week in the electronic medical records.
- Prepare the Weekend Agenda and distribute it to all staff.
- Ensure all Client chargebacks/monthly statements are completed by the Lead PAs on time.
- Oversee and/or arrange transportation for all off-site client appointments (e.g., labs, psychiatry, medical appointments). Perform transports as needed.
- Oversee scheduling of consulting psychiatrist and consulting nurse practitioner appointments.
- Oversee coordination of In-House Speaker Meeting schedule.
- Accurately obtain and document vital signs, height, weight, BAC, and other values as assigned and within the scope of one’s certification. Ensure PA staff accurately obtains and documents all such information as assigned.
- Ensure all assigned urine drug and alcohol screens and breathalyzer tests are collected and stored as ordered and per company policy and procedures.
- Respond appropriately and within the scope of one’s certification and competence to all client and/or facility emergencies.
- Order materials needed to facilitate the program (e.g., office furniture, supplies, books, etc.)
- Ensure facilities are always ‘tour ready’—clean, organized, arranged, etc.
- Consistently look for opportunities to elevate staff engagement and morale.
- Must maintain industry knowledge and recommend ideas to elevate our client experience.

- Complete additional duties as assigned by the COO.
Requirements
- Must be at least Certified with the California Consortium of Addiction Programs and Professionals (CCAPP) or an equivalent
- Must have at least 5 years of Management experience, preferably in a drug and alcohol treatment facility.
- Must have current valid CPR and First Aid Certifications.
- Must have annual TB clearance.
- Complete all Relias and other company training as assigned.
Salary : $70,000
