The Assistant Director for DCOP is responsible for the overall coordination and management of Habilitation Services for the Day Community Opportunities Program. These responsibilities include, but are not limited to the primary supervision of all County Managers. Assist Director with the development and implementation of program specific systems and practices appropriate for recording and reporting participant and direct care staff information. The communication of government changes, mandates and directives associated with Group Day Habilitation. Oversee distribution of appropriate participant information to direct care staff, oversight agencies and billing services. In conjunction with the Director of Day Services, the Assistant Director of DCOP will consult with pertinent administration and each other to problem solve issues effecting Day Habilitation Services as needed.
The assistant Director of DCOP South will be primarily responsible for the following Counties; Columbia, Dutchess, Greene, Orange, Rockland, Ulster and Westchester. However, in the absence of the Northern counterpart, for instances of vacations, absences and any other leave of A.D. position, the Southern Designee will need to cover the Northern Counties until a Replacement has been instated.
- Conduct regular meetings with the Day Habilitation Coordinators and Managers to review progress of consumers
- Hold meetings with Day Habilitation Coordinators and Managers to review regulations governing proper documentation of consumer services as needed
- Assist Day Habilitation Coordinators and Managers in resolving participant clinical issues with staff
- Ensure the quality of daily documentation along with the agency NETSMART system by performing random checks of notes and other participant related documentation on a weekly basis.
- Distribute all program binder information relating to Participants, such as Thumbnails, updated medical information, alone time lists, etc. to the appropriate staff
- Oversee the updating of the program/agency database Choices and NETSMART systems.
- Random Visits to all program volunteer sites, classes and Enrichment activities to evaluate the quality of current curricula and overall programing
- Collect county information and Maintain Data Base for Program Spending & Vehicle records
- Input and maintain hours for staff through the Paylocity system
- Assist in Maintenance of DCOP Dead Files
- Attend meetings in all counties as needed to help in distribution of agency information, new/updated procedures, Staff communication and expectations
- Train Day Habilitation Coordinators regarding new and/or changing documentation regulations
- Share responsibility for the training of Program Managers and Day Habilitation Coordinators with Director of Day Services
- Provide DCOP Orientation classes for Direct Care staff.
- Maintain a record of all Day Habilitation Coordinator trainings.
- In the evident of a serious incident, create/implement a timely plan to ensure consumer safety and the continued delivery of quality services
- Ensure required paperwork is submitted to the appropriate places in a timely manner:
- Random Audits on consumer notes for quality and completeness
- Review notes weekly for billing errors in absence of Triad Member
- Monitor Participant attendance
- Ensure the staff have access to participant information that is complete, legible and current
- Assist Day Habilitation Coordinators in maintaining relationships with Case Coordinators, Family members, Guardians and Other Care Providers:
- Assist Program Director with addressing family problems/concerns as needed
- Provide support for Day Habilitation Coordinators when they advocate for change on Participants behalf
- Contact the Director of Day Services regarding sensitive issues.
- Review all incident reports and QA recommendations.
- Two year’s experience in providing services to persons with developmental disabilities and at least two years’ supervisory experience
- Bachelor's degree or Associates degree
- Good writing, typing and interpersonal communication skills
- Valid NYS driver’s license and reliable transportation
