Onsite - Downtown Tampa (assigned indoor parking space provided).
Role Overview: This position involves client engagement, administrative duties, and managing confidential information. The firm values professionalism, high-quality work, and a strong company culture.
Ideal Candidate: We are looking for and experienced EA with 5 years of experience who thrives in a small, dynamic, modern, and growing setting.
While experience as Legal Assistant is ideal, we have excellent team members who came from other professional services (e.g., public accounting, consulting, engineering, and marketing).
Responsibilities:
Administrative and Client Support:
- Manage client communication and correspondence (email, phone, in-person).
- Provide exceptional client service as a liaison between clients and attorneys.
- Schedule appointments, meetings, and travel arrangements.
- Prepare legal documents (correspondence, agreements, notices, discovery shells).
- Coordinate with court reporters.
Document and Data Management:
- Utilize Zola Suite for document management, data entry, and creating new matters/contacts.
- Maintain organized and accurate physical and electronic files.
- Process incoming and outgoing mail.
- Manage court filings.
General Office and Operational Support:
- Provide reception coverage as needed.
- Process reimbursements.
- Perform time entry and proofreading tasks.
- Complete other duties as assigned
Required & Desired
Skills:
- Strong interpersonal skills and a client-service oriented approach.
- Highly organized with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Proficient in using current technology, including document management systems, email platforms, and Microsoft Office Suite.
- Familiarity with legal terminology, procedures, and document formats.
- Meticulous attention to detail and accuracy in all tasks, particularly in document preparation and data entry.
- Ability to identify and resolve issues independently and efficiently.
- Ability to work effectively as part of a team and provide support to attorneys and paralegals.
Experience:
- Proven experience as a legal assistant, administrative professional in a law firm setting or other professional services business (accounting firm, consulting, etc.
- Experience with client communication and correspondence.
- Experience with scheduling, travel arrangements, and managing calendars.
- Experience with document management systems (Zola Suite experience is a plus).
- Experience with court filings and procedures is beneficial.
Salary : $55,000 - $65,000
