JOB SUMMARY:
The Clinic Operations Coordinator plays a pivotal role in ensuring the efficient functioning of clinic operations as communication liaison, assist in quality assurance, project coordination, team collaboration, and operational support. This multifaceted position requires strong organizational skills, effective communication abilities, and a commitment to quality assurance and project management.
Schedule:
- 0.8FTE (32 hours)
- Monday - Friday
- 8am-5pm generally
Compensation:
- $28.32/hr DOE

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

Schedule Management: From Clinic Director direction, coordinate provider schedules, room assignments, and update scheduling systems with accurate information on a regular basis. Communicate schedule changes and updates to relevant personnel promptly.

Operational Support: Assist Clinic Director in tasks such as timecard management, payroll coordination, and staff communication. Handle clinic work orders for facility maintenance, supply and equipment requests. Manage clinic mail distribution and document filing. Assist in staff and provider onboarding and offboard as directed by Clinic Director.

Communication Liaison: Serve as an operational point of contact for internal communication between clinic staff, management, and external vendors. Communicate with IT support for system-related issues and template adjustments. Facilitate communication regarding patient access, and outreach activities. Act as a liaison to coding staff, referral clean up to optimize revenue capture through clinic workflow.

Quality Assurance: Provide data as directed by the Clinic Director and RN Supervisors, for designated clinic quality measures and quality improvement initiatives as necessary. Aid in representation in committee meetings and quality initiatives where appropriate with Clinic Directors direction.

Project Coordination: Coordinate special projects, and work with the organizations data analyst team such as but not limited to template adjustments, referral cleanup processes, aid in clinic representation of Lean Six Sigma projects for the clinic and gather necessary resources and ensure project timelines are met.

Team Collaboration: Work closely with clinic staff, including physicians, nurses, supervisors, and administrative personnel, to foster a collaborative work environment. Support team members by addressing inquiries and resolving operational issues effectively.
QUALIFICATIONS (Required):
- Bachelor's degree preferred, or equivalent combination of education and experience.
- Previous experience in administration, operations, or related fields preferred.
- Proficiency in Microsoft Office Suite and experience with scheduling software (e.g., Amion, Cerner).
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both verbal and written, with the ability to interact effectively.
- Detail-oriented mindset with a commitment to accuracy and thoroughness in task execution.
- Ability to adapt to changing priorities and navigate complex operational challenges in a fast-paced environment.
