Position Overview
The Prevention and Outreach Center Receptionist is the first point of contact for clients and the community entering the Outreach Center. This position is responsible for greeting and directing visitors, gathering client information for appointments or events, preparing meeting rooms, maintaining filing and data, stocking brochures and supplies, and answering inbound calls. This position will also maintain the company calendar for the Outreach Conference Area schedule and may be asked to make appointments for the Prevention team. The receptionist also serves as the building contract for building and maintenance issues.
Key Responsibilities:
- Setting up the lobby area with brochures, table displays, and refreshments and ensuring the area is tidy
- Answering phones, answering questions, and redirecting calls
- Greeting patients and assisting with any required paperwork promptly and professionally
- Reporting and scheduling service for building and maintenance issues for the Outreach Center
- Escorting patients to the appropriate testing rooms
- Preparing incoming and outgoing mail
- Stocking condoms and literature displays
- Preparing materials and assisting with the general preparations involved in hosting testing events
- Orienting clients on the procedures of using the computer stations and ensuring their cleanliness
- Entering data, appointments, and various information into computer systems accurately
- Ordering supplies and stocking shelves (items may weigh up to 25 lbs.)
- Assisting with testing, including becoming certified to be an HIV tester and performing rapid HIV testing
- Any other duties that may evolve within this position
Skills Needed:
- Ability to multitask and prioritize
- Be comfortable working and communicating with clients and stakeholders in-person and on the phone
- Strong communication skills
- Organizational and calendar management skills
- Demonstrated ability to be adaptable to changing circumstances and environments
- Competent in Microsoft Office Suite, including Word, Outlook, and Excel
Qualifications:
- High School diploma or GED; Associates Degree preferred
- Medical Office experience preferred
- Working knowledge of Microsoft Office software
