Summary: The Print Services (MPS) Specialist is responsible for overseeing and optimizing the entire lifecycle of the company’s printer and plotter fleet. This includes coordinating equipment procurement, managing preventive maintenance, monitoring service and supply requests, and controlling inventory levels. The ideal candidate will be proficient in printer fleet management, have advanced Excel skills, and experience working with ticketing and inventory systems. Knowledge of print management software (e.g., PrinterLogic, PaperCut, Fiery) is essential for implementing solutions that support secure printing, driver updates, scanning workflows, and overall deployment efficiency.

General Responsibilities:

Principal Duties & Responsibilities

  • Printer & Plotter Fleet Coordination
  • Oversee the company’s printer and plotter fleet, including small and large format devices.
  • Coordinate with vendors and internal teams for equipment procurement, deployment, maintenance, and service.
  • Serve as the primary point of contact for all print equipment–related inquiries.

Process Development & Lifecycle Management

  • Develop and implement standardized processes to catalog and track printing devices across multiple locations.
  • Establish workflows to retrieve printing volume, maintenance history, and service requests efficiently.
  • Recommend equipment upgrades or retirement based on lifecycle assessments and business needs.
  • Schedule and oversee preventive maintenance to ensure maximum device uptime.

Print Management Software & Solutions

  • Recommend and implement print management software (e.g., PrinterLogic, PaperCut, Fiery) to streamline deployment, secure print options, scanning workflows, and driver updates.
  • Configure and manage specialized functionalities, including secure print release, cost-recovery modules, user-level usage tracking, and analytics dashboards.
  • Provide technical guidance and troubleshoot issues related to print management solutions

Inventory & Ticketing Systems

  • Maintain accurate records of device performance in ticketing and inventory systems.
  • Use advanced Excel skills (pivot tables, VLOOKUP, data modeling) to analyze usage trends, generate reports, and forecast equipment and supply needs.
  • Coordinate the procurement and distribution of supplies (e.g., toner, ink, paper) to minimize downtime.
  • Develop processes for managing service and supply requests, partnering with helpdesk teams to track and resolve support tickets.

Travel & On-Site Coordination

  • Visit various company locations to conduct fleet audits, coordinate installations, and handle service interventions.
  • Provide on-site training and guidance for local staff, ensuring proper equipment use and maintenance.

Compliance & Reporting

  • Ensure compliance with company policies, industry standards, and vendor agreements.
  • Prepare and deliver regular reports on fleet performance, cost analysis, and improvement recommendations to senior management.

Other Duties

  • Perform other job-related tasks as assigned or required.

Required Education:

  • Bachelor’s degree in Business Administration, Information Technology, or a related field preferred (equivalent work experience will be considered).

Required Experience:

  • Minimum of 5 years of experience in printer/plotter service and management, print technology implementation, and maintenance.
  • Proficient in lifecycle oversight for printers and plotters, from procurement to eventual retirement, emphasizing quality and cost-effectiveness.
  • Highly skilled in Excel, along with Microsoft Outlook, Teams, Word, and ticketing/inventory tools (e.g., ServiceNow, Spiceworks).
  • Experienced with print management software (PrinterLogic, PaperCut, Fiery) to enable secure print options, scanning workflows, driver updates, and usage analytics.
  • Adept at conducting audits to identify cost-saving opportunities, workflow enhancements, and ensure compliance with IT/security standards.
  • Effective in vendor management, service-level agreements (SLAs), and coordinating maintenance in large or geographically diverse environments.
  • Capable of documenting SOPs for print operations, including preventative maintenance, incident resolution, and escalation protocols.
  • Strong in communication, able to collaborate across IT, Facilities, Procurement, and vendor teams.
  • Organized and flexible, capable of managing multiple projects while minimizing downtime and optimizing resource allocation.
  • Open to travel an average of 3–5 days per month (with increased travel for large or complex projects).
  • Strong communication skills
  • Ability to build strong relationships

Physical Requirements

While performing the duties of this job, the employee is regularly required to communicate with others and exchange accurate information; operate a computer and other office productivity machinery; move about the workplace; remain in a stationary position for 50% of the time; ascend/descend a ladder; conduct visual inspections; extend hands and arms in any direction; handle and manipulate hand tools; stoop, kneel, crouch, or crawl; exert force by pushing/pulling items; and lift or move up to 50 pounds.
