Position Summary:
The Shipping Clerk is responsible for ensuring the accurate and timely processing of outgoing shipments. This role involves preparing shipping documents, organizing packages for dispatch, verifying shipment details, and coordinating with carriers. The Shipping Clerk plays a key role in the smooth operation of the shipping department and supports the overall logistics functions of the company.
Key Responsibilities:
- Prepare and Process Shipments:
- Accurately process and prepare outgoing orders using shipping software and systems.
- Print and affix shipping labels on packages.
- Verify product quantities, shipping addresses, and order details before dispatch.
- Ensure that all shipments meet customer and carrier requirements.
- Manage Shipping Documentation:
- Create and maintain shipping records including packing lists, invoices, and bills of lading.
- Ensure proper documentation for international shipments including customs forms and export paperwork.
- File and organize shipping documents for record-keeping and audits.
- Coordinate with Carriers:
- Schedule pickups with shipping carriers (UPS, FedEx, DHL, etc.) and freight companies.
- Track shipments to ensure timely delivery.
- Address any issues or delays with carriers and report them to the supervisor.
- Maintain Inventory Control:
- Assist with inventory counts and reconcile discrepancies.
- Ensure that inventory is properly packed and labeled for shipment.
- Keep accurate records of shipped products and update inventory systems.
- Inspect and Package Goods:
- Inspect outgoing goods for quality and accuracy.
- Pack items securely to avoid damage during transit.
- Adhere to safety and packing guidelines when handling fragile or hazardous materials.
- Collaborate with Internal Departments:
- Work closely with warehouse, production, and customer service teams to ensure smooth order fulfillment.
- Communicate any shipping delays or issues to the appropriate departments.
- Maintain a Safe and Organized Work Area:
- Ensure the shipping area is clean, organized, and safe.
- Follow all safety protocols and handle equipment (e.g., forklifts, pallet jacks) in a responsible manner.
Skills and Qualifications:
- High school diploma or equivalent (required).
- Previous experience in shipping, logistics, or warehouse operations (preferred).
- Proficiency with shipping software (UPS WorldShip, FedEx Ship Manager, etc.).
- Knowledge of shipping regulations, including domestic and international shipping.
- Strong attention to detail and accuracy.
- Excellent communication and organizational skills.
- Ability to lift and move packages (up to 50 lbs).
- Basic computer skills, including Microsoft Office (Word, Excel).
- Forklift certification (preferred but not required).
Working Conditions:
· Primarily works in a warehouse or shipping area.
· Exposure to varying temperatures depending on the season and warehouse conditions.
