POSITION SUMMARY
Works collaboratively with the DPAS Program Director and direct Manager to provide direct support for the management and general business operations of the DPAS. Create, use and adapt processes to streamline workflow to improve department administrative and clerical procedures. The ideal candidate will possess excellent time management, organizational, and communication skills, the ability to work independently, navigate and meet competing deadlines, maintain confidentiality of program and student information, and engage with colleagues as a member of an integrated program team.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job duties specific to this position:
Administrative Responsibilities:
Address faculty and student needs and triage individuals to the right person/place if unable to meet the faculty member’s or student's needs
Assist DPAS Clinical Placement Team with outreach to preceptors, sites, and students; document responses in Exxat platform
Maintain up-to-date Exxat records
Maintain OnBase database; upload and retrieve documents as needed
Review and manage program pages on the LMC PA website, including the Exxat page
Register students for courses and process advisor assignments; interface with the registrar
Manage background check process for admitted candidates and documentation required for student onboarding
Register/update students in databases for NYSSPA, AAPA, PAEA, NCCPA, ROSH Review/PANCE prep tools and other external vendor tools to support student learning
Troubleshoot ID card access issues
Coordinate lab repairs and maintain office supplies
Solicit support from IT and external vendors as needed
Maintain procedures manual for position
Draft, review, and send correspondence
Department Budget:
Utilize the Workday platform and legacy systems to handle fiscal transactions
Support faculty and staff in their use of these platforms and systems
Monitor department budget and maintain awareness of budget trends
Additional Duties:
Lead collaboration among Program Director direct Manager, Catering, Communications, Facilities, A/V, and external vendors to plan and prepare for major and quotidian department events, including but not limited to: Orientation, College Graduation, Poster Presentation, Transition White Coat Ceremony, Convocation
In collaboration with the DPAC clinical placement team, manage AAPA CME credits for PA-C preceptors
Support special projects and committees of program director, HRSA grant team, and department as a whole
Facilitate development and maintenance of strategic plan
Serve as a LEARN application reader
Facilitate group session interviews during Admissions
Coordinate student yearly honor society and scholarship awards
Serve on DPAS committee based on program needs and in alignment with professional skills and departmental responsibilities
Participate in monthly department meetings and sites/placements meetings

QUALIFICATIONS
Associates Degree Required or equivalent relevant experience.
Bachelor’s degree and 2 years of experience in an administrative position with a high level of responsibility and autonomy, preferred
Demonstrated ability to work independently with problem-solving skills
Highly organized self-starter with excellent time-management skills
Problem solver with conceptual skills
Excellent attention to detail, communication, writing, and interpersonal skills
Ability to efficiently prioritize workload and successfully meet deadlines in an environment with competing priorities
Proficient in the use of all MS Office applications, internet, Google Suite
Experience creating reports and drafting correspondence with time-sensitive data, preferred
Familiarity with online Workday management systems, Exxat Scheduling system, OnBase Record Management System, Canvas, and Zoom , preferred
Prior experience with budgets, preferred
Prior event planning experience, preferred
Additional Information:
Pay Range: $18.00 - $20.00 per hour
