POSITION SUMMARY
Assists with the day to day housing operation in the Campus Life and Leadership Office. This person provides support for several critical housing functions including key inventories, housing records, student room changes, data input, billing, meal plans and building operations; including maintenance requests and health and safety inspections. Administers the housing assignment process for incoming and returning students. Maintains open and effective communication with residents to address inquiries, provide updates, and share relevant information to residents.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job duties specific to this position:
Support all aspects of the College’s residential housing operations including maintaining the housing assignment database (Erezlife/Datatel), housing requests, room assignments/room changes, check-in and check-outs, meal plan assignments/changes, withdrawals, and extended stays.
Produce weekly housing reports in order to provide accurate housing records and up to date information on where students are living for security purposes and to insure proper billing by the Bursar.
Responsible for oversight of a key management system including key distribution, exchange and collection of keys and any related tasks during the academic year and summer conferences.
Submit lock core change requests and input billing for lost keys and lock core changes.
Manage and produce (ID) cards throughout the year. Coordinate routine maintenance of ID system. Assign or work with IT to assign access privileges as needed and troubleshoot ID problems.
Track commuter requests/housing release requests. Work with Assistant Director to share established guidelines for fair/consistent decisions.
Responsible for college-wide student check-in and check-out, transition periods and summer housing, coordinating with appropriate offices, external entities, and volunteers. Oversee requests for early arrivals, late departures, and special requests, including athletic groups, graduate students, off-schedule academic programs, and new students for orientation.
Hire, train and supervise 5-6 work-study students to assist with day to day office operations. Set work schedules, track and approve work-study hours.
Serve as a resource person to students and parents regarding the College as a whole. Must be knowledgeable about the function and basic operation of other campus offices in order to accurately direct calls and inquiries. Must enjoy dealing with people.
Maintain and update on-line Emergency Contact information for all students and via key-cards or other method for all residential students.
Responsible for distribution, tracking and on-line reconciliation of campus life/club credit cards. This includes collecting receipts, following up with missing receipts and contacting students who are overdue on returning their cards.
Responsible staff member to the Campus Life e-mail account to follow-up in a timely fashion. Update and maintain Campus Life/Housing website as needed.
Works closely with other offices within the Student Development Division and throughout the College on a regular basis. Acts as a resource to SDO staff.
Must be available to work additional hours during opening weekends, summer and fall orientations and special events.
May need to work and provide assistance during weekends and evenings.
Provide support for Fall opening and summer camps as needed.
This position requires an occasional respond to frustrated and angry constituents and sensitivity to confidential situations. Patience and diplomacy are required.
Computer knowledge and experience is necessary, especially with DATATEL, email, Google Office, and the Microsoft Office Suite.

QUALIFICATIONS
Bachelor’s degree or equivalent relevant experience required
College housing experience preferred
The ability to manage multiple tasks & attention to detail
Strong written and oral communication skills, good with people
Demonstrated organization skills and ability to prioritize tasks.
