The Repair & Maintenance Coordinator provides clerical and administrative assistance to the Maintenance Engineer Supervisor, maintain related library of technical documentations and supports the repair and maintenance engineers.
Typical duties will include, but are not limited to :
- Receive and log incoming items into maintenance computer system. Determine item priority, create service tickets and assign priority of service requirements. Issue work to maintenance staff, indicating priority.
- Track all open service issues and report on the status of units in service. Provide periodic status reports, communicate status of repairs to all interested parties, and routinely update communications as status changes.
- Communicate with manufacturers or parts depot to order parts for needed repairs as specified by the engineering staff technicians.
- Check receipt of parts and materials. Copy packing slips, attach to purchase orders, and file in designated locations. Issue received parts to staff and communicate status as required.
- Receive repaired units, enter data to update maintenance status in computer system, prepare and annotate completed service tag, and move to defined warehouse location, communicating status to others waiting for unit.
- Check units in queue to determine priorities and status and issue items for maintenance to staff as required.
- Maintain parts inventory accuracy, ensure that all parts issued are documented in inventory system and that records are in compliance with physical inventory.
- Communicate requirements for technical upgrades of equipment to technical staff based on management directives and technical bulletins. Maintain library of technical manuals and ensure that all documentation is available as required.
- Prepare service estimates for third party repairs based on information provided by others. Issues return authorization numbers for units under warranty. Assign and prioritize warranty work and communicate status of repairs to customers as required.
- Prepare, issue, and track warranty reimbursement forms to ensure proper billing, payment, and close out of all open warranty repairs and follow requirements based on equipment location.
- Assist in answering departmental telephones, determine caller's needs, route calls, initiate pages, take and relay messages, and greet and announce visitors.
