SUMMARY:
The Clinic Operations Manager is responsible for overseeing the daily operations of the clinic, ensuring efficiency, patient satisfaction, and adherence to company protocols. This role combines leadership responsibilities with direct patient engagement, supervising clinic staff while also managing patient programs, financial discussions, and clinic workflow. The Clinic Operations Manager serves as a key liaison between clinic staff and corporate leadership, fostering a positive culture that aligns with Limitless Male Medical's core values.

DUTIES AND RESPONSIBILITIES:
Patient Experience & Satisfaction:
- Serve as the primary point of contact for patient relations, ensuring a seamless and positive clinical experience.
- Meet face-to-face with new and existing patients to discuss treatment programs, financials, and program adherence.
- Collaborate with clinical staff to ensure every patient interaction aligns with our patient-first philosophy.
- Monitor patient adherence to prescribed treatment programs and proactively follow up on missed appointments or payments.
- Order medications for patients using clinic protocols and audit all orders for accuracy.
Operational & Leadership Responsibilities:
- Supervise all clinic staff, ensuring alignment with company policies and core values.
- Act as the direct liaison between clinic employees and the corporate team, addressing operational needs and HR-related matters.
- Manage scheduling, patient wait times, and overall clinic flow to maximize efficiency.
- Oversee clinic cleanliness, safety, and regulatory compliance.
- Provide onsite training and development for both new and existing employees, conducting weekly training and coaching sessions.
- Lead regular performance evaluations, staff check-ins, and development initiatives.
Administrative & Performance Metrics:
- Utilize EMR, CRM, and other software programs (AdvancedMD, Zoho, Quest, Payroll & HR systems) to track and optimize clinic operations.

Analyze key performance indicators (KPIs) such as:
- Patient door-to-door time
- Growth of TRT payment plans (Month over Month)
- Ancillary sales performance
- Lead conversion rates
- Inventory and clinical supply management
- Overtime & payroll efficiency
- Employee retention and performance reviews
- Ensure all staff adhere to daily, weekly, and monthly reporting and auditing procedures, including:
- End-of-day tracker reports
- Bi-weekly PEM meetings
- Weekly one-on-ones & training sessions
- Monthly self-evaluations & performance check-ins
Collaboration & Problem-Solving:
- Work closely with marketing, operations, and HR teams to develop strategies for increasing patient retention and clinic performance.
- Foster a culture of continuous improvement, encouraging team members to take initiative in solving problems and optimizing workflows.
- Support business growth by implementing best practices that enhance patient satisfaction and clinic profitability.
QUALIFICATIONS:
- Exceptional leadership and interpersonal skills.
- Strong problem-solving ability with a proactive mindset.
- Experience in patient care, healthcare management, or sales (required).
- High level of organization, time management, and multi-tasking skills.
- Proficiency with CRM, EMR, and HR/payroll systems.
- Previous experience in sales, patient financial discussions, or insurance/billing (preferred).
SUPERVISORY RESPONSIBILITIES:
- Oversee all clinic staff and maintain accountability for performance, training, and compliance.
- Conduct interviews, hire new employees, and lead performance evaluations.
- Address staff concerns and resolve issues in alignment with HR policies and company values.
- Work closely with the Operations Managers to ensure consistency in clinic operations, protocol adherence, and communication of company updates.
