Job Title: Real Estate Operations Administrator

Job Summary: We are seeking a highly organized and detail-oriented Real Estate Operations Administrator to support the daily operations. This role involves managing administrative tasks, scheduling and coordinating repairs for make ready listings, and ensuring smooth office operations. The ideal candidate will possess excellent communication skills and a proactive attitude to contribute to the efficiency and success of the team.

Key Responsibilities:

  • Listing Coordination:
  • Conduct property condition evaluations and coordinate repairs
  • Communicate with listing agents, staff and vendors to ensure timely and accurate flow of information.
  • Administrative Support:
  • Maintain and organize digital files, ensuring compliance with record-keeping standards.
  • Prepare reports, updates, and correspondence as needed.
  • Coordinate events and meetings.
  • Office Management:
  • Manage office supplies, equipment, and vendor relationships.
  • Marketing and Client Support:
  • Assist with the creation and distribution of client gifts.
  • Update and maintain client databases and CRM systems.
  • Support client relationship management through prompt and professional communication.

Qualifications:

  • Proven experience in real estate administration, sales, or property management.
  • Strong knowledge of real estate processes, regulations, and documentation.
  • Proficiency in Microsoft Office Suite, Google Workspace, and real estate-specific software (e.g., MLS, Dotloop, and CRM systems).
  • Excellent organizational and time management skills with a keen attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications:

  • Real estate license.
  • Experience with marketing tools and social media platforms.
  • Familiarity with transaction management platforms.

Work Environment:

  • Office-based with occasional travel to property sites and meetings as needed.
