Job Summary:
The Project Administrator will provide essential support to the Project Manager by organizing, managing, and maintaining project documentation, schedules, and files across remote teams. This role ensures the smooth operation of project activities through effective use of project management software and regular tracking of project progress. The Project Administrator will work closely with both internal and external stakeholders to ensure that all updates and modifications are reflected accurately within the system.
Key Responsibilities:
- Project Documentation Management: Create, maintain, and update project files in the relevant project management software. Ensure all relevant project documents are organized and accessible to all stakeholders.
- Remote Project Tracking: Monitor and track the progress of remote projects, reporting on milestones, delays, and status updates to the Project Manager and stakeholders.
- Modification Management: Oversee and manage project modifications, including changes in scope, timelines, and deliverables. Ensure that all updates are recorded and communicated across global teams.
- Coordination and Communication: Act as a liaison between the Project Manager, remote teams, and other stakeholders to ensure the timely completion of project tasks and deliverables.
- Software Administration: Maintain and update project details in software as Deltek and Salesforce Ensure all data is accurate and up to date.
- Reporting: Generate regular reports on project performance, milestones, KPIs, and deliverables. Assist in preparing project presentations for leadership or clients.
- Calendar and Meeting Management: Schedule and coordinate virtual meetings, update project calendars, and assist in the organization of key project events across multiple time zones.
- Compliance and Quality Control: Ensure that all project documentation, communication, and reporting comply with internal and external quality standards and policies.
- Risk and Issue Tracking: Support the identification and tracking of project risks and issues, keeping relevant documentation updated and escalating issues when necessary.
- Budget Tracking Assistance: Assist the Project Manager in tracking project budgets, invoicing, and financial documentation, ensuring that all records are maintained and reported correctly.
- Administrative Support: Provide general administrative and organizational support to the Project Manager and other project team members as needed.
- Other administrative duties as required.
