We're seeking a talented Administrative Assistant to join our team in Merrillville, Indiana. This is a great opportunity to join a growing company listed as a 2024 Indiana Best Places to Work. Additionally, they will need to be comfortable coordinating and managing various tasks, with the ability to prioritize activities according to the evolving needs of the office and management.

In this position, the candidate will:
  • Reception & Admin Support: Cover front desk, assist employees and visitors, answer and route calls. Handle document tasks (reformatting, copying, scanning, faxing, shredding). Coordinate office assignments and manage department reports.
  • Mail, Shipping & Supplies: Receive/distribute mail and packages. Maintain postage meter/machine, generate U.P.S. reports, and handle shipments via U.P.S., U.S.P.S., electronic requests, or hand delivery. Manage postage cash and restock office, kitchen, and marketing supplies.
  • Office & Facilities Coordination: Stock copiers and kitchen supplies, clean appliances and refreshment areas, load/empty dishwashers. Coordinate office maintenance (landscaping, cleaning, HVAC, pest control, vending). Manage fleet vehicle scheduling, cleaning, and maintenance.
  • Event & Meeting Coordination: Arrange catering, lodging, and conference room setup. Maintain newsletters, signs, and event flyers in Teams. Plan fundraisers and events.
  • Reporting & Data Management: Submit reports to Accounting, input vehicle logs, update plan holder spreadsheets, process bid documents, and coordinate newspaper legal notices.
  • Special Tasks & Miscellaneous: Coordinate Years of Service Awards, print business cards, use specialized equipment (laminator), run errands, and support departments with admin tasks.
  • May perform a variety of other administrative tasks as needed.


Qualifications for this role include:
  • High school diploma or GED
  • 2 years of experience in an administrative role preferred.
  • Strong written and verbal communication, interpersonal, and organization skills with strong attention to detail.
  • Proficiency with Microsoft Office programs including Word, Excel, Outlook, PowerPoint, and Teams.
  • Ability to lift and carry up to 25 lbs.
  • Valid driver's license.
