Description:
Under general supervision, performs a variety of general secretarial, transcription, and office support functions. Assist with building permit process, business licenses, and other clerical duties as needed. Cover the front counter.
Responsibilities:
Scan documents, organize digital computer files, search documents for facts, type reports, forms, and other documents; make copies, operate various office equipment, route calls and greet public; give routine information from reports and records; perform filing duties; make routine mathematical calculations and assist in bookkeeping or handling cash; perform other work as required; compose and type routine letters and memorandum from general instructions using word processing software; assemble and submit reports based on relevant data from files; compile statistics and information as directed; set up and type reports and similar presentation materials following established guidelines and format; answer routine questions and furnishes information.
WORK SCHEDULE: Approximately 30 hours per week.
Knowledge, Skills, and Abilities:
Knowledge of office management practices and procedures
Knowledge of departmental operations and functions.
Knowledge of general bookkeeping/billing practices and procedures.
Knowledge of computer software used to complete assigned projects.
Skill in following complex oral and written instructions, policies, and procedures.
Skill in operating a variety of office equipment, including word processor, computer terminal, adding machine, and telephone
Qualifications:
Must be a high school graduate or equivalent with preferably one year of college education AND experience equivalent to six (6) months full-time secretarial/clerical support work OR completion of a post high school training program in secretarial sciences including the use of word processors. Must be able to type 45 wpm. May require a valid Utah Operators License. Ability to establish and maintain effective professional relationships with department heads, city officials, public and private agencies, co-workers, and customers, is necessary, using various media and in person.
