POSITION DESCRIPTION
Position Title: Early Intervention Administrative Assistant
Division: Early Intervention
Civil Service Status: Classified Admin Support FT
Schedule: Monday – Friday FLSA Status: Non-Exempt
Salary Range: $15.00 - $23.98 per hr. Hours: M-F 8:30 AM – 4:30 PM Days: 250
QUALIFICATIONS:
Associates degree in Office Administration or other related field preferred: or high school diploma and/or equivalent with three years experience in an office/customer service environment.
LICENSURE OR CERTIFICATION REQUIREMENTS: No requirements.
EMPLOYMENT REQUIREMENTS:
Must pass a medical fitness for duty examination including chemical dependency test. Must pass criminal background check; valid driver's license with less than six (6) points on BMV report; must possess and provide proof of current auto insurance coverage pursuant to agency policy; must complete all Public School Works employee training as per Employee Safety Training Guide (may be acquired after employment). May be requested to lift, carry, and move enrollees, including children, adolescents, and adults in a safe manner, according to in-service training.
JOB DESCRIPTION AND WORKER CHARACTERISTICS:
This is specialized office work in support of direct service programs and services for enrolled individuals, requiring fully developed secretarial, administrative, clerical and computer software skills.
- Maintains enrollment records and all administrative program files and reference materials, keeps attendance records and completes rosters in accordance with professional ethics and established procedures in maintaining confidentiality of information and material.
- Compiles monthly, quarterly or annual reports required by collaborating and regulating agencies (Department of Education, Department of Children and Youth, Department of DD, and/or Department of Health); financial reports for affiliated non-profit boards may also be required.
- Types correspondence and/or program support materials for administrators and other staff as needed.
- Coordinates meetings and assembles meeting materials as directed.
- Dispatches information to various areas, ensuring timely response to enrollee needs. This includes opening, distributing and responding to incoming mail. Demonstrates respect and positive regard for all enrolled individuals, their families and visitors and provides instruction and encouragement as needed.
- Works collaboratively with all staff to ensure efficient office operations and assists staff with computer software applications and training on basic computing, such as setting up shortcuts to files, demonstrating how to create formulas in spreadsheets, how to prepare simple PowerPoint presentations, etc.
- Maintains office supply inventory and prepares supply orders for supervisory approval.
- As necessary employee shall comply with Safety Rules established for the purpose of fulfilling compliance with Ohio Employment Risk Reduction Standards, Rules, or Orders, through the utilization of protective equipment and decontamination techniques.
- Other duties as assigned.
ESSENTIAL FUNCTIONS OF THE POSITION: For purposes of 42 USC 12101and OAC 4112-5-8:
1. Maintain records, files and reference materials and do so in a confidential manner.
2. Compile reports including but not limited to financial reports.
3. Types correspondence and program support materials and coordinates meetings and assembles needed materials.
4. Disseminates information including the mail.
5. Demonstrates respect and positive regard for enrolled individuals, their families, visitors and coworkers.

6. Collects and accounts for cash receipts for goods and services provided.
7. Works collaboratively to ensure efficient office operations and maintains supply of office goods and assists other staff with computer applications.
8. Complies with Safety Rules.
GENERAL EXPECTATIONS:
- Promotes and implements the mandates of the LCBDD in a professional, positive, and efficient manner.
- Maintaining confidentiality is required.
- Regular and predictable attendance is expected.
- Preserving a valid certification, licensure or registration is expected for those positions that require such in order to continue employment.
- It is essential for the employee to maintain all training and in-services required by the position.
- The LCBDD promotes a non-hostile and non-discriminating work environment. Employees must adhere to respectful conduct and language at all times. The Board expects all employees to follow policies/procedures of the department and Agency rules and regulations.
COMPETENCIES FOR THIS POSITION:
Knowledge In:
- Office practices and procedures, including ability to operate basic office and computer equipment and machines.
- Operation of Microsoft Office computer software, including desk top publishing, word processing, spread sheet and data base applications.
- Record keeping systems and confidentiality controls.
- Arithmetic calculations including whole numbers, fractions, decimals and percentages.
- Standard forms regarding business letters, memos, reports and manuscripts.
