Summary:
Ensures the efficient operation of the Human Resources Department by performing various responsibilities facilitates the employment onboarding process, establishes and maintains personnel files, communicates benefit information to employees, facilitates recordkeeping for tuition reimbursement program, and performs other clerical and administrative duties.
Essential Functions:
To perform this job, an individual must perform each essential function satisfactorily with or without reasonable accommodation.
1. Plans and administers the hospital’s employment, recruitment, placement and transfer program in compliance with Equal Opportunity, OSHA, FLSA and other state and federal requirements.
2. Participates in job fairs, college recruitment drives, and other open house opportunities as requested.
3. Greets applicants pleasantly and professionally.
4. Process PAR forms for various reasons: name changes, address changes, tax filing changes, transfers, job codes/positions, etc., timely.
5. Completes onboarding process from start to finish. Including new hire paperwork, coordinating background, drug screening, I9 clearance and other required documents.
6. Schedules all appointments for employment needed. Works with other departments to schedule all necessary requirements.
7. Ensures required competencies and documents are secured from department managers to complete the personnel file for required surveys from Joint Commission, OSHA and other federal and state agencies.
8. Conducts primary source documentation on all licensed personnel prior to starting positions and prior to expirations.
9. Ensures 90 Day Evaluations are completed timely by management and received in HR for files.
10. Maintains terminated files orderly and sends them to outside vendor for scanning.
11. Maintains strict confidentiality of all information contained/learned in or pertaining to personnel or their files.
12. Keeps the director informed promptly of any unusual questions or concerns.
13. Opens mail and distributes daily.
14. Performs other clerical and administrative duties as required and prioritizes assigned work to accomplish tasks efficiently and effectively.
15. Acts as receptionist for the department, takes accurate messages and forwards to the appropriate individual.
16. Assists with planning and executing of employee events in an organized and positive manner.
17. Assist with audit of personnel files by all company, local, federal or state agencies.
18. Other duties as assigned.
Qualifications
Education:
- Bachelor’s degree required.
- High School Diploma or Equivalent, preferred.
- Master’s, preferred.
Experience:
- Prior experience in a human resources/personnel department or as an executive secretary is preferred.
- Requires critical thinking skills, decisive judgement, and the ability to work with minimal supervision.
- Must be able to work in a stressful environment and take appropriate action.
