Description

 

SUMMARY: Provides secretarial support for Tour of the Body and to the VP, College of Health Sciences and Student Affairs.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. In conjunction with all other personnel, support and advance the vision and mission of the University.
  2. Coordinate all tours for university sponsored Tour of the Body. May be needed to conduct tours.
  3. May act as recipient for Tour of the Body donations.
  4. Coordinate all employee/work study schedules for Tour of the Body.
  5. Coordinates with internal and external university personnel to ensure correct processing of anatomical donations.
  6. Maintains updated paper and technology driven files for anatomical donations.
  7. Ensure student and other worker coordination for Tour of the body, including payroll.
  8. Create work orders, submit documentation for payroll, assist with travel, submit reimbursement requests, take minutes, prepare agenda and other secretarial duties for the VP, College of Health Sciences.
  9. Greet students, faculty and staff visiting or calling for Tour of the Body or the VP, CoHSSA.
  10. Secure and maintain an inventory of standard office supplies, and requisition other materials as requested.
  11. Coordinate meeting spaces through EMS, and catering as assigned.
  12. Manages the Anatomical Gift program as directed and supervised by the Program Director for ToB and the VP, CoHSSA.
  13. Participate in, plan and schedule appropriate college and university ceremonies, programs, task forces, committees, accreditation and program development activities, etc., including the ToB ceremony.
  14. Prepares monthly ToB donation report.
  15. Assist with president, dean's and award list, distribution, preparation and scheduling of celebrations.
  16. Prepare and maintain reports on Academic Affairs activities as assigned.
  17. May assist with course review, College of Health Sciences.
  18. Develop and assemble a variety of correspondence as assigned.
  19. Works with university employees (particularly those in the Anatomy lab/field regarding Tour of the Body tours and donations.
  20. Data entry as assigned.
  21. Other duties as assigned.

An Associate or Bachelor's degree is preferred, but not required, as is four to five years related experience and/or training or an equivalent combination of education and experience. The individual must have the ability to read and interpret documents such as operating and maintenance instructions and procedure manuals, and the ability to prepare routine reports and correspondence. Basic math skills are required. The individual must have common sense understanding, be able to carry out instructions furnished in written, oral, or diagram form, and the ability to deal with and solve problems. Experience in recording, transcription, filing, and general office duties is required.

Computer Skills: Competency with MS Office Suite. Certificates, Licenses and Registrations: NIA Other Skills: Minutes-taking skills.

Other Qualifications: Must be able to work overtime occasionally, including evenings and weekends. This

individual works with anatomical including cadaveric donations to the university - must be able to work well and empathetically with grieving families regarding cadaveric donations. This individual may often visit the anatomy lab. This individual may have calls occur outside of customary work hours as needed to receive donations.

While performing the duties of this job, the employee is frequently required to sit and use hands and fingers to type on computer, operate office equipment, and handle files, documents, pens, pencils, etc. The employee must be able to talk and hear to answer the telephone and communicate with others inside and outside the college. The employee is occasionally required to stand, walk, and reach with hands and arms to maintain files, set up for events, and pick up mail from the mail room. The employee must occasionally lift and/or move file boxes and office supplies weighing up to 10 pounds. Specific vision abilities required by this job include close vision to use the computer to produce meeting minutes, correspondence and contracts..
