The Opportunity
LogicBio is seeking an Office Administrator to serve as the main support person for our office in Lexington, MA and ensure smooth daily operations by performing a wide range of duties such as supply ordering, office maintenance, and general office support. This person will support people at all levels and roles. This position may also coordinate and support special projects and large-scale initiatives across the company. The candidate must be comfortable working efficiently in a fast-paced environment and collaboratively across the organization to enable the Leadership Team to execute on our operational goals.
Primary Responsibilities
Responsibilities will vary depending upon priorities and may include, but are not limited to, the following:
- Provide reception support by greeting visitors, vendors and delivery personnel and directing them accordingly
- Proactively monitor and maintain appropriate inventory of office and kitchen supplies
- Sort and distribute mail and some packages, as well as coordinate package shipping
- Coordinate the maintenance of office equipment including copiers, printers, new hire computer equipment and kitchen appliances
- Assist with companywide event planning
- Provide logistical planning and administrative support including calendar management, travel coordination, and expense reporting for key personnel
- Plan and prepare for meetings and off-sites, including reserving meeting rooms, setting up catering, and coordinating with external sites and vendors as needed
- Coordinate ordering and distribution of company promotional items and employee milestone (baby, anniversary, bereavement) gifts
- Conference room scheduling and maintenance
- General office cleanliness
- Execute on special projects through coordination of internal and external stakeholders, dealing with all levels of the organization
- Serve as the liaison between the Lexington site and other sites
- Analyze needs and problems to determine appropriate approach and priorities in collaboration with senior leaders, their teams, and administrative colleagues across functions
- Convey a professional image representing the organization internally and externally
- Perform independent ad-hoc project-based work, as needed
Qualifications
- Bachelor’s Degree preferred
- Four years of experience as an administrative assistant or equivalent supporting senior level executives. Experience in the biotechnology industry is a plus
- Must be motivated, detail-oriented, proactive, attentive and exceptionally organized
- Proven ability to take initiative, determine priorities, and exercise good judgement
- Excellent interpersonal and communication skills (written, verbal, and presentation) including ability to communicate throughout all levels of an organization
- Strong organizational skills and a sense of urgency with flexibility to adapt to changing and competing priorities
- Able to prioritize and manage projects simultaneously, and follows through on issues in a timely manner
- Strong working knowledge of Microsoft Office Software
- A high EQ, maturity, and ability to handle confidential and/or potentially sensitive information
- Notary public license is a strong plus
