The Executive Assistant reports to the LOGISTEED America, Inc. Chief Executive Officer (CEO) and offer as-needed support to other Senior Level Executive Team Members to help realize company goals and objectives. This role will work one-on-one directly with the CEO, offering general administrative, clerical, and secretarial support. The person in this role will be proactive, show meticulous attention to detail, remain flexible in a high-paced environment, and calmly conduct duties with the utmost discretion and confidentiality required.

  • Communicate both orally and in writing in a clear and concise manner
  • Manage both professional and personal scheduling for the CEO, including overseeing his calendar, arranging meetings, making appointments, and providing reminders of pre-existing commitments.
  • Redirect communication and correspondences intended for the CEO, including re-routing incoming phone calls, meeting inquiries, and physical incoming / outgoing mail.
  • Efficiently oversee the flow of information to and from the CEO and disseminate it through other levels of management as needed.
  • Draft and / or proof letters, memoranda, reports, presentation material, meeting minutes, and accurately enter data onto various (operational) platforms.
  • Assist in producing various (analytical) reports that track operational efficiency.
  • Act as a liaison between Executive Members and their internal / external clients and contacts.
  • Make travel arrangements (transportation, meals, accommodations, etc.).
  • Record and submit monthly expenses and reimbursement forms.
  • Develop and execute organizational documentation / filing systems.
  • Maintain a high degree of professionalism and discretion in all responsibilities, both internal / external facing.
  • Handle and manage all communication and sensitive materials with high confidentiality and discretion.
  • Assist in planning company events, outings, both internal and off-site.
  • Ability to assist in producing and recording (branch, department, and company-wide) budget-related material.
  • Maintain the organization of (digital) files belonging to the CEO.

    Previous Work Experience

  • Minimum of 4 years’ experience working in an administrative assistant, executive assistant, and / or a secretarial role
  • Education and Certifications

  • High school diploma / GED
  • Equivalent work experience will be considered
  • Experience Requirements and Preferences

  • Knowledge of Global Logistics (Freight Forwarding, Customs Brokerage, Contract Logistics, Trucking) a plus.
  • Experience in overseeing budgets and expenses.
  • Experience in developing internal processes and filing systems.
  • Advanced knowledge and proficiency in Microsoft Office Programs, with an emphasis in operating Excel, Outlook, Word, and excellent knowledge using PowerPoint (and other related creative / graphics software and platforms).
  • Detail-oriented with strong organizational and analytical skills.
  • Excellent grammar with high-level written and spoken communication skills.
  • Full comprehension of office management systems and procedures.
  • Ability to multitask and prioritize daily workload.
  • Staying up to date with knowledge on continually upgraded office gadgets, applications, and equipment.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain discretion and confidentiality in all tasks and communication.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Ability to oversee, manage, and coordinate multiple concurrent projects on behalf of senior executive members.

    Work Environment

    One hundred percent of the work time will be spent in an office setting where the environment is climate controlled.
