Job Summary: Field Services Coordinator; as a key member of the team, you will be responsible for
providing essential administrative support to ensure the smooth functioning of conveyor installation projects. Your responsibilities will include creating geo fences for cloud-based time clock systems, managing rental equipment orders, processing contractor purchase orders, and overseeing vendor invoice management, including verification of hours and approval assignments.
Essential Duties and Responsibilities (other duties as assigned):
Schedule Management
- Maintain current scheduling software with entries for all field services projects to include pertinent project information.
- Set up and maintain geo fences for cloud-based time clock systems to accurately track the working hours of field services personnel at various project sites.
- Assist in gathering and organizing timekeeping data from the cloud-based system to support accurate and timely payroll processing for field services personnel.
Travel Booking
- Arrange and manage travel logistics and expenses for the field services team, including flights, accommodations, and transportation, while adhering to budgetary constraints
Rental Equipment Management
- Coordinate the ordering, delivery, and return of rental equipment required for conveyor installations, ensuring timely availability and cost-effective solutions.
Purchase Orders and Invoice Management
- Facilitate the processing of contractor purchase orders, liaising with vendors and internal teams to ensure timely and accurate purchase order creation and fulfillment.
- Oversee the processing and auditing of vendor invoices related to the field services projects, verifying the accuracy of billed hours, materials, and expenses.
- Work closely with project stakeholders to assign responsible parties for invoice approval, ensuring timely approvals and adherence to budgetary guidelines.
Documentation Management
- Maintain comprehensive and organized records of all administrative activities, including invoices, purchase orders, timekeeping data, and rental equipment documentation.
- Communication and Coordination: Collaborate with the Field Services Manager, project stakeholders, and vendors to ensure effective communication and smooth coordination of administrative tasks.
- Issue Resolution: Address any administrative challenges or discrepancies promptly, working with relevant parties to find effective resolutions.
- Process Improvement: Continuously identify opportunities to streamline administrative processes and improve efficiency within the field services implementation team.
- Training: Provide training to incoming Field Service personnel for expense and time clock software with special attention to proper procedures and submittals for both systems.
Troubleshooting Resources & Technical Documentation
- Collaborate with IT as a resource for recommending or creating software-based troubleshooting programs, ensuring solutions meet the functional needs of the organization. Work closely with IT on the development and integration of tool solutions to enhance operational efficiency.
- Partner with internal Technical Writers and other engineering resources to create and maintain
Supervisory Responsibilities:
- There are no supervisory responsibilities for this role.
Travel Demands:
- The role may require up to 15% travel to project sites across regions and may involve exposure to industrial environments, including moving mechanical parts and moderate noise levels. Compliance with proper safety standards per OSHA regulations is mandatory.
Qualifications and Skill Requirements:
- Proven experience in administrative roles, preferably in a project-based or field services environment.
- Strong organizational and time management skills with the ability to handle multiple administrative tasks simultaneously.
- Excellent communication and interpersonal skills to interact effectively with team members, vendors, and project stakeholders.
- Familiarity with cloud-based time clock systems and basic understanding of
- geofencing.
- Detail-oriented with a keen eye for accuracy and data verification.
- Ability to work independently, take initiative, and proactively solve problems.
- Proficiency in using productivity tools and software for documentation and data
- management.
- Familiarity with invoice processing and purchase order management is a plus.
- Must possess and maintain a valid driver's license.
- Ability to write routine reports and correspondence, communicate effectively with internal and external customers.
- Fluent in reading and writing English, understanding of Spanish is a plus
- Must have advanced proficiency with Microsoft Office products
- Possess adequate skill to navigate and work within company’s ERP (SyteLine) and
- CRM software
- Advanced proficiency with TeamUp, Paycor and Concur
- Excellent typing skills are required
Education and Experience:
- Associate’s degree in business administration, project management, related field or 2 years of equivalent experience.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift, up to, 50 pounds at times.
Work Environment:
- The work environment is pleasant, temperature controlled, professional office environment in a manufacturing setting. The employee works in an office setting but does have frequent interaction with the shop floor. On the shop floor, the employee is exposed to moving mechanical parts and fumes or airborne particles. The noise level in the work environment is mixed and the air temperature fluctuates with the seasonal weather.
