Job Overview:
The Event Sales and Program Manager is responsible for driving the event sales strategy, managing event bookings, and overseeing the execution of various events held at the winery and all related event spaces. This includes private events (such as weddings, corporate events, and private tastings), public events, and winery-hosted gatherings. The role combines sales, event planning, program management, hospitality and customer service to deliver memorable experiences that highlight the winery’s brand and offerings.
A successful candidate will work closely with the Tasting Room Managers, Director of Marketing and the Direct-to-Consumer Manager to develop programs and elevated experiences that increase sales.
Key Responsibilities:
Event Sales and Coordination:
- Drive the sales process for private and corporate events, from inquiry through to event execution and post-event follow-up.
- Work with potential clients to understand their needs, providing event proposals and tailored offerings.
- Develop and maintain relationships with event planners, corporate clients, and local vendors to generate new business and repeat bookings.
- Meet and exceed monthly and annual event sales goals.
- Maintain an up-to-date calendar of events and bookings, ensuring the winery's event spaces are optimally utilized.
- Negotiate contracts, pricing, and event terms with clients to secure business.
- Ensure event spaces are set up and prepared according to client specifications and winery standards.
Program Development and Management:
- Create, manage, and promote public & club event programs.
- Collaborate with the winery's Director of Marketing to develop event promotions, including digital marketing, social media, email campaigns, and print materials.
- Coordinate with the Tasting Room Managers to ensure smooth event operations (such as catering, logistics, and hospitality).
- Handle logistics for wine-related events, ensuring all aspects of the program are well-executed, from catering to wine selection, entertainment, and guest experiences.
- Maintain knowledge of current wine trends and event concepts to continuously improve and diversify offerings.
Customer Service & Relationship Management:
- Provide exceptional customer service, maintaining communication with clients throughout the entire event planning and execution process.
Customer Service & Relationship Management (Cont.):
- Resolve issues and challenges that may arise during events, ensuring client satisfaction and problem resolution.
- Conduct post-event evaluations with clients to gather feedback and identify opportunities for improvement.
- Foster strong relationships with both event clients and winery guests to encourage loyalty and positive word-of-mouth.
· Assist in the tasting room as needed.
Administrative and Reporting:
- Maintain accurate records of event inquiries, sales, bookings, and contracts.
- Prepare and present sales reports, tracking revenue, leads, and other key performance metrics.
- Ensure compliance with winery policies and local regulations related to events, permits, and alcohol sales.
- Manage event budgets and work to ensure events are executed within the allocated budget.
Qualifications:
Experience:
· Minimum of 3-5 years of experience in event planning, sales, or hospitality management.
· Prior experience in the wine industry, wineries, or similar hospitality environments is a plus.
· Demonstrated success in event sales and client relationship management.
· Experience with CRM systems, event management software, and budgeting tools.
Skills:
· Excellent communication, negotiation, and interpersonal skills.
· Strong organizational skills with the ability to manage multiple events and priorities simultaneously.
· Ability to work independently and as part of a team.
· Knowledge of wine and winery operations is highly desirable.
· Detail-oriented with a focus on delivering high-quality experiences.
Physical Demands:
· Ability to work flexible hours, including evenings and weekends, as events may take place outside of regular office hours.
· Ability to lift up to 25 lbs. and stand or walk for extended periods during event setups and breakdowns.
