We're looking for a reliable and detail-oriented Personal/Admin Assistant to join our team and help ensure operations run smoothly across multiple entities.

Position Overview:
The Personal/Admin Assistant will provide vital support to the CEO and COO by managing administrative tasks, coordinating personal errands, and keeping operations organized and efficient. This role involves moderating meetings for multiple entities, tracking tasks from those meetings, reporting financial updates, and ensuring timely follow-ups. Additionally, the role includes running errands to properties, delivering materials, coordinating with contractors, and assisting with other business needs. Access to a reliable vehicle is required.

Key Responsibilities:

  • Administrative Support:
  • Organize and manage calendars, schedule appointments, and coordinate meetings across multiple entities.
  • Draft, edit, and proofread emails and documents.
  • Maintain and organize digital files and records.
  • Meeting Coordination:
  • Moderate meetings for the owners across multiple business entities, ensuring they run smoothly and stay on track.
  • Take detailed meeting notes, document action items, and track tasks assigned during meetings.
  • Follow up with team members to ensure task completion and provide updates to the owners.
  • Errands & On-Site Support:
  • Deliver materials, documents, and supplies to properties as needed.
  • Support the closing manager in coordinating with contractors, including paying them and managing on-site logistics.
  • Conduct basic property checks and provide updates to the leadership team.
  • Handle personal errands, such as picking up supplies or managing other in-town tasks.
  • Financial & Operational Reporting:
  • Assist in preparing and reporting financial updates as requested.
  • Maintain accurate records of expenses and assist with basic financial tracking.
  • Support the leadership team with other operational reporting as assigned.
  • Additional Responsibilities as Assigned:
  • Perform other tasks as needed to support the leadership team and ensure smooth operations.
  • Be adaptable and willing to take on new challenges to help drive the success of the business.

Qualifications:

  • Proven experience as a Personal Assistant, Administrative Assistant, or similar role.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism.
  • Experience moderating meetings, tracking tasks, and reporting updates.
  • Basic understanding of financial tracking and reporting.
  • Access to a reliable vehicle, a valid driver’s license, and the ability to travel throughout the Augusta area.
  • Familiarity with the Augusta, GA area.
  • Proficiency with office tools such as Google Workspace (Docs, Sheets, Calendar), CRM platforms, QuickBooks, and other productivity software.
  • Ability to multitask and prioritize effectively.
  • Positive attitude and a proactive approach to problem-solving.

Preferred Qualifications:

  • Experience in real estate, property management, or a similar field is a plus.
  • Familiarity with Salesforce, Asana, or similar systems is highly desirable.
