Patient Experience & Communication:
- Warmly greet and check in patients, ensuring a welcoming and professional first impression.
- Manage high call volumes with efficiency, professionalism, and courtesy.
- Register new patients, accurately inputting data into the practice management system.
- Monitor and respond to voicemail messages in a timely manner.
- Prepare correspondence, memos, and post-operative treatment letters as needed.
- Handle all communication (email, fax, phone) while adhering to HIPAA compliance.
- Regularly monitor and sort office email accounts to ensure timely responses.
- Update office voicemail and place appropriate signage when the office is closed or hours change.
- Maintain a clean and professional front office environment.
Appointment Coordination & Scheduling:
- Effectively manage scheduling to optimize patient flow and maximize time
- Confirm appointments and follow up with patients according to practice protocols.
- Monitor, adjust, and reschedule appointments as needed to maintain efficiency.
- Ensure referral letters and X-rays are obtained and properly documented.
- Organize daily charts for clinical staff review.
Insurance & Financial Coordination:
- Verify and update patient insurance information in the practice management system.
- Follow up with patients for missing or incomplete insurance details.
- Communicate financial responsibilities clearly to patients and coordinate financial arrangements.
- Process and reconcile patient payments, ensuring accuracy in financial records.
- Review charts for any outstanding treatment and follow up accordingly.
Qualifications & Skills:
- Exceptional customer service skills—passionate about providing a superior patient experience.
- Highly organized with the ability to prioritize, multitask, and manage time effectively.
- Strong communication skills—professional, articulate, and empathetic.
- Tech-savvy—proficiency in practice management software, Microsoft Office (Excel, Word), and multi-line phone systems.
- Detail-oriented with a commitment to accuracy in patient records and scheduling.
- Team player who collaborates well with colleagues while taking ownership of their responsibilities.
- Ability to remain calm and professional in a fast-paced, high-pressure environment.
- Strong problem-solving skills—able to assess situations quickly and respond appropriately.
Education & Experience:
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
- Minimum 2 years of experience in a medical or dental office administrative role.
- Minimum 2 years of customer service experience, preferably in healthcare.
- Experience managing a busy multi-line phone system.
- Familiarity with insurance verification and patient financial coordination.
- CPR & First Aid certification preferred.
