Longwood Gardens seeks a highly organized and proactive part-time Event Operations Associate to join our team. The ideal candidate will have excellent customer service and hospitality skills, along with a strong attention to detail and will assist with the smooth execution of various events and activities. Responsibilities include:
- Assisting in the setup and breakdown of event equipment, decor, and signage, and ensuring event spaces remain clean and organized
- Collaborating with the Events team to assist in the planning and execution of diverse events (receptions, corporate gatherings, educational programs, special exhibits)
- Assisting with inquiries, providing directions, and sharing event-related information to guests, and providing transportation
- Attending planning meetings, site tours, and line-ups and communicating with stakeholders to ensure all are aligned on event needs and schedules
- Addressing and resolving operational challenges swiftly and troubleshooting technical issues as needed
- Inventorying of assets and equipment
The schedule varies and requires working a minimum average of 20 hours per week including evenings, weekends, and holidays.
The ideal candidate will possess:
- Event management certifications or relevant coursework is preferred
- Previous experience in event coordination, hospitality, or a related field is preferred
- A valid driver's license is required
- Strong communication and interpersonal skills, with the ability to collaborate effectively with internal teams, clients, and vendors
- Highly detail-oriented, customer-focused, and passionate about event coordination
- Ability to lift up to 20 pounds and stand and walk for extended periods
- Ability to work outdoors in varying weather conditions.
