Job Description:
Longwood University invites qualified applicants to apply for the position of Budget and Operations Manager / General Administration Supervisor I/Coordinator I (00184) for the Andy Taylor Center (ATC). The Budget and Operations Manager works closely with the director to maintain building and financial operations of the Andy Taylor Center for Early Childhood Development. Major duties include budgeting and accounting, managing tuition payments, working with parents, students, and teachers, and keeping the building in VDOE (Virginia Department of Education) licensing compliance. The Budget and Operations Manager works with the director to manage signature fundraising events and to secure sponsorships, grants, and in-kind donations. This position works closely with the director and lead teacher team, assisting in school operations, including opening and/or closing the school, coordinating special events, and providing support to classroom teachers, and other duties assigned within scope of the Andy Taylor Center mission and vision.
Essential Responsibilities and Duties:
Center Operations:
- Assists in maintaining the school's physical appearance, ensuring it is well-kept, appealing, safe, and within VDOE licensing compliance.
- Works with the director in building maintenance and placing work orders.
- Checks and receives daily mail, phone calls, and voicemails.
- Orders, receives, stores and maintains supplies according to center need, locates stock and delivers requested items.
- Reviews order forms for accuracy and verifies supplies received against invoices and packing slips; contacts approved vendors to reorder routine supplies, and processes paperwork related to reorder requests.
Budget:
- Prepares budget projection plans.
- Monitors financial affairs with monthly and annual expenditure reports.
- Reconciles monthly reports to verify that transactions and balances are accurate and takes appropriate steps to make corrections as needed.
- Assists director with receiving and allocating grant funds.
- Maintains the day-to-day input of budget items and communicates with director.
- Scholarship record keeping and communication to families of yearly renewable and process.
- Meets monthly with the budget committee.
Fundraising and Grants:
- Aids in the coordination and management of ATC grants, including soliciting, writing, budgeting, forecasting, and reporting.
- Assists with ATC participation in Love your Longwood Day of Giving with projected fundraising goal. This work includes identifying challenge gifts and the creation of testimonials.
- Prepares thank you letters for the director for gifts.
- Sends thank you notes from ATC to all donors.
- Maintains donor list and tracking of monetary donations received from Institutional Advancement.
- Works with the director to manage signature fundraising events, including managing communications and creating and deploying integrated marketing plans.
Requirements:
Qualifications:
- Four-year degree or related financial experience
- Experience with the operations of a weekday preschool program preferred
- Experience with Commonwealth of Virginia procurement procedures is preferred
- Experience with budgeting is preferred
Competencies:
- Ability to work with infant - age 5 children required
- Exceptional written and verbal communication skills to communicate with staff, director, and parents respectfully and effectively with a kind written and vocal tone
- Requires the ability to compare and/or judge the readily observable, functional, structural, or composite characteristics of data, people or things
- Self-driven and task-oriented with attention to detail and flexibility
- Strong sense of urgency and accuracy in carrying out job responsibilities
- Ability to apply common sense understanding to carry out instructions furnished in written or oral form
- Ability to anticipate what tasks need to be accomplished in financial and building operations and complete them independently
- Ability to prioritize, multi-task, and organize for best results
- Ability to identify and correct anomalies that may identify data errors
- Ability to process information using a variety of computer-driven word processing, spreadsheet and file maintenance programs. Work includes responsibility for accuracy of financial data, spelling, punctuation, format and grammar.
- Experience with Bright Wheel preferred

This is a full-time, classified, non-exempt position in pay band 4. Salary will be commensurate with experience. Commonwealth of Virginia benefits accompany this position.
