Purpose
The Program Administrative Assistant will provide essential administrative and programmatic support to the Director of Community Services, ensuring the smooth operation of community programs and compliance with agency requirements. This role involves managing records, coordinating reports, assisting with financial documentation, and supporting various agency functions, including self-assessments and data reporting. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple responsibilities.
Summary of work activities, tasks and responsibilities
- Abides by applicable Agency rules and regulations.
- Assist the Director of Community Services with scheduling, calendar management, and correspondence.
- Prepare reports, presentations, and documents as needed.
- Maintain and organize digital and physical files, ensuring records are up to date.
- Handle confidential and sensitive information with discretion.
- Ensure agency compliance with CSBG Organizational Standards.
- Maintain records, files, correspondence, and other essential documents.
- Oversee the preparation of reports and routine correspondence for internal and external use.
- Review and respond to correspondence as assigned.
- Prepare and handle information of a confidential nature.
- Preparation of notices, minutes, and agendas for meetings.
- Attend meetings, workshops, and seminars as directed.
- Abide by all applicable agency rules and regulations.
- Handle data entry, creation of Direct Pays, and Purchase Orders.
- Oversee the completion of reports and data collection for agency needs.
- Assist with Coordinating the agency’s ROMA (Results-Oriented Management and Accountability) reporting requirements.
- Coordinate Community Connections (OPAE) and assist in community outreach initiatives.
- Assist with packing and distributing produce at the Produce Center as needed.
- Support community programs and ensure documentation and reporting requirements are met.
- Perform additional duties assigned by the Director of Community Services.
- Provide general administrative support to ensure efficient office operations.
