Experienced Payroll Specialist responsible for the preparation and the processing of the organizations hourly and salaried weekly payroll files using ADP Workforce Now and ADP Time & Attendance systems. The Payroll Specialist will also be responsible for updating and uploading all 401K, 403B retirement plans into plan websites and managing all collective bargaining union contributions. The Payroll Specialist is responsible for maintaining payroll records, ensuring payroll is processed on time, accurately, and in compliance with government regulations. The Payroll Specialist will collect and analyze information to resolve payroll discrepancies as well as answer any questions and process team leader and team member request. The Payroll Specialist will work with the accountants to review and reconcile payroll related entries in the general ledger monthly, and assist with the monthly close, and be responsible for all payroll related audit items. The Payroll Specialist will review payroll tax reports for federal & state agencies when required and generate payroll reports for internal and external parties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Ensure timely and accurate processing of weekly payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Review exempt and non-exempt personnel timecards for accuracy and approvals.
- Reviews computed wages and corrects errors to ensure accuracy.
- Ensures compliance with federal, state, and local payroll, wage, garnishment, and best practices.
- Facilitates audits by providing requested payroll, withholdings, timecard records and documentation when requested.
- Identifies and recommends updates to payroll processing software, systems, and policies and procedures.
- Maintain accurate payroll records information by collecting, calculating, and entering data into ADP, including reconciliation of all payroll accounts.
- Works closely with the Benefits Specialist to ensure accurate benefits deductions and record keeping.
- Process employee (new hires, terminations, changes, earnings, withholdings).
- Prepare various payroll reports by compiling summaries of earnings, taxes, deductions, leave disability and nontaxable wages.
- Respond to team members inquiries and requests regarding payroll matters.
- Review and reconcile payroll related entries in the general ledger monthly.
- Review the quarterly payroll tax reports for federal & state agencies as prepared by ADP for accuracy and agreement with the general ledger.
- Works closely with the controller and accountants to produce accurate monthly financials.
- Responsible for all payroll related information as it pertains to all internal and external audits.
- Performs other duties and projects as assigned.
COMPLIANCE RESPONSIBILITIES
- Understands and adheres to Loretto Hospital’s compliance standards as they appear in the Compliance Policy, Code of Conduct and Conflict of Interest Policy.
- Keeps abreast of all pertinent federal, state and Hospital regulations, laws, and policies as they presently exist and as they change or are modified.
- Ensures that the staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs.
JOB REQUIREMENTS:
- Bachelor’s degree in Accounting, Business Administration, or related field.
- 3 years of payroll processing experience.
- Working knowledge of federal, state, and Department of Labor regulations, including tax regulations and garnishments required
- Familiarity with an HRIS system or similar large database is required; experience with ADP Workforce Now and Enhanced Time & Attendance preferred.
- Advanced computer skills and MS Excel required.
- Excellent communication (oral/written), interpersonal time management and organizational skills.
- Strong analytical, detail oriented and problem-solving skills.
- Ability to work independently, self-starter, energetic, quick learner and multi-task.
