Job Summary
Join us as an administrative assistant, where you’ll play an essential role in supporting our team and ensuring smooth operations across various departments. Under the supervision of the Executive Director, the Administrative Assistant is responsible for supporting the Executive Director, Volunteer Coordinator, and Marketing and Program Coordinator. We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring that administrative tasks are completed efficiently and effectively. This role requires strong organizational skills, excellent communication abilities, and a commitment to delivering outstanding customer support. The Administrative Assistant will play a crucial role in maintaining smooth office functions and enhancing team productivity.
General Admin Responsibilities
- Attend to My Senior Center database and Kiosks – adding and removing activities, running reports, and providing data entry.
- Provide daily count sheets for congregate meals and meal donations. Make meal ticket sheets as needed.
- Deposit money from meals and rides daily.
- Reconcile petty cash.
- Record checks as needed.
- Keep phone lists and other employee information.
- Support the Board of Directors as requested.
- Manage bulletin boards, lunch sheets, and sign-in sheets at both Centers.
- Manage donor database.
- Place supply orders for both centers.
- Manage monthly menu sheets.
- Create weekly room set-up document.
- Other duties as requested by the Executive Director
Marketing & Program Coordinator Support
- Review, collect data, and support other work for the bi-monthly newsletter.
- Update Mail Chimp as needed.
- Proofread marketing materials (e-newsletter, graphics, flyers, press releases).
- Assist with distributing flyers & newsletters in the centers and around the community.
- Help create flyers and other marketing material as needed.
- Other duties as assigned by the Marketing & Program Coordinator.
Volunteer Coordinator Support
- Update the Volunteer database as needed.
- Create monthly volunteer calendars.
- Update News & Notes binder weekly.
- Help train new volunteers.
- Other duties as assigned by the Volunteer Coordinator.
Knowledge, Skills, and Abilities
- Proven experience as an administrative assistant or similar role
- Highly organized.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Proficiency in Google Docs
- Ability to work independently as well as part of a team.
- Ability to work in a fast-paced environment with many interruptions.
- Strong communication and interpersonal skills.
- Able to prioritize and handle multiple tasks.
- Pleasant phone manners.
- Responsive and understanding of seniors.
- Ability to proofread.
Minimum Qualifications
High School Degree and four years of office assistant or similar experience.

Pay: $19.00 - $22.00 per hour
