PROJECT
An Administrative Secretary I performs secretarial services for an administrator who has jurisdiction over one or more major organizational segments of the District, performs the lower-level administrative duties, and provides direct and functional supervision over clerical staff and clerical procedures and practices in the main office and decentralized locations.

JOB DUTIES/RESPONSIBILITIES
Typical duties for this position may include:
- Establishing and maintaining clerical procedures in the main office and decentralized locations of a major unit, such as a Division.
- Explaining rules, regulations, policies, and practices to school and office personnel and the public, often speaking on behalf of the administrator.
- Composing, editing, and maintaining controls on agendas, bulletins, reports, correspondence, and other material.
- Maintaining or supervising the maintenance of the administrators calendar and arranging appointments and meetings.
- Receiving and screening telephone calls and visitors and referring them to appropriate offices or personnel.
- Reviewing a variety of reports, minutes, and correspondence; obtaining related information; and maintaining or supervising routing and follow-up procedures.
- Advising administrators on office procedures, layout, equipment, and staffing; clerical policies and procedures; and supervisory problems.
- Preparing or supervising the preparation of timekeeping reports, requests for personnel action, supply requisitions, performance evaluations, and other documents.

MINIMUM REQUIREMENTS
PROMOTIONAL STATUS IS REQUIRED
You must be a current or retired employee of LAUSD with 130 paid days in regular status in the Classified Service or permanent status in the Certificated Service or have been laid-off within the past 39 months from a regular, permanent LAUSD position in which you passed probation.
Laid-off employees' eligibility as a promotional candidate expires at the end of their 39 month period; as such, laid-off employees applying for promotional career opportunities man not be eligible to complete the assessment process or may be removed from the employment eligibility list once their eligibility as a promotional candidate expires.
EDUCATION
Graduation from high school or evidence of equivalent educational proficiency.
EXPERIENCE
Five years of office experience, including three years in secretarial work. Supervisory experience is desirable. An Associate of Arts degree in Secretarial Science or designation as a Certified Professional Secretary (CPS) may be substituted for two years of the required experience.

DESIRABLE QUALIFICATIONS
We anticipate hiring a highly motivated individual who possesses strong secretarial skills and has experience planning and supervising the work of others engaged in clerical work. The ideal candidate will be proficient in using the MS Office products, especially Word, Excel, Outlook, and PowerPoint. The ideal candidate will have extensive experience scheduling meetings, appointments, and maintaining a very busy calendar on behalf of an Administrator. Additionally, the ideal candidate will have a solid understanding of District and Personnel Commission rules, policies, organization, and functions, demonstrate initiative and good judgment, make sound decisions and work under pressure in meeting deadlines, and have proven success in establishing collaborative working relationships with both internal and external individuals and groups.
EMPLOYMENT SELECTION PROCESS
The assessment process for this position will tentatively consist of a Writing Project and computerized performance assessments on Microsoft Excel, Outlook, and Word, followed by an interview which will be worth 100% of candidates' overall scores. Candidates who are successful on the computerized performance assessments on Microsoft Excel, Outlook, and Word, and meet the minimum requirements for this position, will be invited to participate in the Interview.
TESTING PROCESS
