Job Summary:
Los Osos Physical Therapy is seeking an organized and dedicated Front Office Manager to oversee the day-to-day administrative operations of our clinic. The ideal candidate will have excellent communication skills, at least 1 years of front desk/healthcare experience, and a strong understanding of HR policies. As the Front Office Manager, you will play a critical role in ensuring seamless customer service, smooth patient flow, and effective management of insurance and scheduling processes.
Key Responsibilities:
- Customer Service & Interpersonal Relations: Provide exceptional customer service and foster positive relationships with patients, staff, and visitors. Serve as the first point of contact for patient inquiries and concerns.
- Medical Insurance Verification & Collection of Copays: Verify patient insurance information and collect copayments, ensuring accuracy and timely processing.
- Insurance Follow-Up: Follow up on insurance claims and outstanding payments, ensuring proper documentation and resolution of issues.
- Record Keeping & Billing: Maintain accurate and up-to-date medical charts, patient records, and billing information in compliance with HIPAA and clinic policies.
- Patient Scheduling & Rescheduling: Schedule, reschedule, and confirm patient appointments efficiently, coordinating with physical therapists to ensure proper time allocation.
- Staff Scheduling: Create and manage the weekly schedule for physical therapy aides, ensuring coverage for all shifts and effective use of staff resources.
- HR Policy Adherence: Ensure compliance with company HR policies and provide support in managing personnel matters, as needed.
Qualifications:
- 1 years of experience in a front desk or healthcare administration role, preferably in a medical or therapy setting.
- Strong communication skills, both written and verbal, with the ability to interact effectively with patients, staff, and healthcare providers.
- Excellent computer skills, including proficiency in office software (e.g., Microsoft Office Suite) and experience with electronic medical records (EMR) or scheduling software.
- Knowledge of HR policies and practices, with a focus on maintaining confidentiality and compliance.
- Strong organizational and multitasking abilities, with attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
- Experience with insurance verification and claims follow-up.
- Familiarity with medical billing practices and coding.
- Prior experience in scheduling for healthcare staff.
Work Environment:
- This position is based in our clinic and requires interaction with both patients and staff throughout the day.
- Hours: Full-time Monday-Friday 8:45 AM - 5 PM.
