The Setup Coordinator is responsible for managing the end-to-end setup of new accounts, ensuring that all necessary systems, processes, and tools are in place for seamless onboarding. This includes but is not limited to phone system configurations, claims system setup, operational workflows, and IT Alignment. Acting as the liaison between account management, IT, operations, and frontline teams, this role ensures that all setup components align with business needs while maintaining clear communication across stakeholders. The Setup Coordinator tracks all setup tasks, facilitates system testing and quality control, and ensures that frontline teams are fully prepared for any changes. Additionally, this role identifies process improvements and ensures compliance with internal policies and customer requirements.
Minimum Qualifications :
- High School Diploma or equivalency required.
- 1-3 years experience in Account Management, Project Management or Business Relationship Management.
- Advanced proficiency in PowerPoint and Excel.
Primary Job Functions :
Serves as primary point of contact between Claims team and Account Managers, Sales, Compliance and Premium teams to ensure smooth communication and collaboration.Facilitates information sharing by gathering, organizing, and distributing key updates, reports, and insights between teams.Supports issue resolution by identifying concerns from stakeholders and working with appropriate teams to address them.Monitors service levels and performance metrics, ensuring claims processes align with business expectations.Assists in process improvements by identifying inefficiencies and recommending solutions to enhance workflow and collaboration.Tracks and reports on key initiatives, providing updates on claim trends, challenges, and opportunities to sales and account management teams.Coordinates meetings and follow-ups, ensuring all stakeholders are aligned on priorities, decisions, and action items.Supports escalations and complex cases, helping bridge gaps between teams.Reviews forms with Compliance to help Claims with questions.Develops and maintains documentation, including standard procedures, FAQs, and key reference materials for stakeholders.Works closely with the Quality and Training teams to ensure all documentation is current, updated, and aligned with business needs.''The above cited duties and responsibilities describe the general nature and level of work performed by people assigned to the job. Ability to effectively communicate and collaborate with multiple teams (Claims, Account Managers, Sales, Premium, Quality, Training, Compliance).Strong analytical skills to identify issues and work with stakeholders to resolve them.Ability to manage multiple initiatives, track progress, and ensure deadlines are met.Ensures all documentation, forms, and processes are current, accurate, and compliant.A focus on customer-centric solutions while ensuring smooth internal operations.Proficiency in creating and maintaining documentation, including procedures, forms, and reports.Analyzes performance data, trends, and metrics to inform decisions and provide actionable insights.Skilled in identifying inefficiencies and recommending solutions to improve workflows.Familiar with regulatory requirements and the ability to work with Compliance to review and update forms as needed.Ability to prioritize tasks and manage time effectively, especially in a fast-paced environment.Willing to adjust to new processes or changes in the business environment.Technical Proficiency : Familiarity with systems and tools related to claims, reporting, and data analysis (e.g., CRM, Excel, 8x8).Additional Information :
