Our office is fast-paced yet supportive, and we value professionalism, organization, and a client-centered approach. We are seeking a reliable and proactive Office Coordinator & Personal Assistant to support our daily operations and assist the lead attorney with administrative and personal tasks.
Position Overview:
The Office Coordinator & Personal Assistant will play a key role in ensuring the smooth operation of the firm by handling administrative tasks, managing schedules, and assisting the lead attorney with both professional and personal matters. This role is ideal for someone who is highly organized, detail-oriented, and comfortable wearing multiple hats. While prior law firm experience is a plus, it is not required—we are willing to train the right candidate.
Key Responsibilities:Office Coordination:
- Greet clients and visitors, ensuring a welcoming office environment
- Answer and direct phone calls, take messages, and respond to emails
- Manage office supplies, handle mail, and maintain office organization
- Manage client intake, assist in file organization, and assist with data entry into case management software
- Coordinate office maintenance needs and liaise with vendors as necessary
- Maintain confidentiality and professionalism in all interactions
Personal Assistant Duties for the Lead Attorney:
- Manage the attorney’s calendar, schedule appointments, and send reminders (daily)
- Coordinate travel arrangements, including flights, accommodations, and transportation
- Run personal errands, such as picking up dry cleaning, ordering office/lunch supplies, or handling personal scheduling needs
- Assist with event planning, both professional and personal
- Conduct light research or make phone calls on behalf of the attorney
- Handle miscellaneous administrative tasks as needed

- Professional demeanor with a high level of discretion and confidentiality
- Ability to adapt to changing priorities in a fast-paced environment
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn new software
- Experience in an office setting preferred; law firm experience is a plus but not required
