Overview
Candidate will work 35 hours a week. Hybrid flexible position. Candidate will be required to be in office Tuesday, Wednesday and Thursday and will work remote Monday and Friday 8:00 am to 4:00 pm with an hour lunch for a total of 7 hours a day.
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with all incoming faxes, inputting referral information and calling patients. This position requires strong communication skills, attention to detail, and the ability to manage multiple responsibilities effectively. Bilingual candidates are highly encouraged to apply, however not necessary.
Responsibilities
- Manage and maintain office files, ensuring all documents are organized and easily accessible.
- Perform data entry tasks accurately and efficiently.
- Handle all incoming fax referrals, sorting referrals, inputting information , and gathering patient demographics
- Operate phones, providing excellent phone etiquette while answering calls and directing inquiries appropriately to Office Manager.
- Assist with clerical duties including typing, data entry , copying, and scanning documents.
- Support team members with administrative tasks as needed to enhance productivity.
- Proficiency in electronic medical record utilized by clinic
Skills
- Main focus will be in receiving, sorting and collecting patient data from incoming faxes in addition to answering phones
- Manage Debt collection of patient statements; send patient statements and track paid or unpaid statements
- Strong computer skills with proficiency in data entry and familiarity with office software.
- Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
- Ability to maintain professionalism while managing phones and client interactions.
- Detail-oriented with strong organizational skills for effective file management.
- Previous experience in an office setting or as a clerk is preferred but not required.
