Job Summary:
The Lead Patient Coordinator is a critical role responsible for overseeing all front office operations and ensuring a seamless and positive patient experience. This individual will lead a team of patient coordinators, manage patient scheduling, handle insurance verification, and provide exceptional customer service. The ideal candidate is highly organized, possesses excellent communication skills, and has a strong understanding of dental practice administration.
Responsibilities:
- Leadership and Team Management:
- Supervise and mentor patient coordinators, providing training and support.
- Schedule and manage front office staff, ensuring adequate coverage.
- Conduct regular team meetings and performance evaluations.
- Foster a positive and collaborative team environment.
- Patient Experience:
- Greet and welcome patients with a warm and professional demeanor.
- Manage patient check-in and check-out processes efficiently.
- Address patient inquiries and concerns promptly and professionally.
- Ensure patient comfort and satisfaction throughout their visit.
- Scheduling and Appointment Management:
- Manage the appointment schedule, optimizing efficiency and patient flow.
- Schedule and confirm patient appointments, including follow-up appointments.
- Handle appointment cancellations and rescheduling.
- Manage the patient recall system.
- Insurance and Financial Management:
- Verify patient insurance coverage and benefits.
- Process insurance claims and payments.
- Explain treatment costs and payment options to patients.
- Manage patient accounts and billing.
- Ensure all necessary patient paperwork is completed accurately and timely.
- Administrative Duties:
- Answer and manage incoming phone calls.
- Maintain accurate patient records and files.
- Manage incoming and outgoing mail and faxes.
- Order and maintain office supplies.
- Ensure the front office is clean and organized.
- Maintain HIPAA compliance.
- Practice Growth:
- Assist in the implementation of marketing initiatives.
- Proactively seek ways to improve patient satisfaction and practice efficiency.
Qualifications:
- Minimum of 3 years of experience as a patient coordinator in a dental practice, with at least 1 year in a leadership role.
- Strong knowledge of dental terminology, procedures, and insurance processes.
- Excellent communication, interpersonal, and customer service skills.
- Proficient in dental practice management software (e.g., Dentrix, Eaglesoft).
- Strong organizational and time-management skills.
- Ability to multitask and prioritize effectively.
- Proficiency in Microsoft Office 1 Suite (Word, Excel, Outlook).
Job Type: Full-time
Pay: From $22.00 per hour
Expected hours: 30 – 40 per week
