The Office of the County Administrator is looking for an Administrative Assistant to provide comprehensive administrative support to the department. This is a front counter position which requires demonstrated skills and knowledge of providing customer service and phone reception to internal and external customers, including executive level staff and elected officials.
The position will also serve on a rotating basis as support to the Deputy Clerk at Board of Supervisors' Meetings and Public Hearings.
Key responsibilities:- Manage Front Counter Services (Oversee day-to-day operations and services provided at Front Counter, answer and evaluate incoming calls to determine what services are needed, handle incoming and outgoing mail.)
- Assist with Ordering and Purchasing Activities (Verify requests against County contracts and funding sources; order office supplies and equipment; create requisitions; process purchase orders as goods are received; request payment of invoices for services; reconcile accounts against purchase orders; contact vendors to ensure purchase orders have been processed; respond to inquiries from vendors; and track fiscal expenditures.)
- Manage Procurement Cards (Process credit card payments, conduct credit card reconciliations, maintain credit card records, perform audits, and manage credit card inventory.)
- Monitor Office Equipment (Ensure all equipment is operational; arrange for regular service and/or repairs; place facility work orders.)
- Manage Inventory of Electronic Devices (Coordinate with Information Technology for replacements and repairs.)
- Manage Booking and Operations of Conference Rooms
- Coordinate Storage and Records Retrieval (Arrange for transport to and storage of files at off-site warehouse. Maintain records of files stored.)
- Provide Administrative Support to the Department (e.g., place catering orders and handle food setup for meetings, process expense reports, and assist with special projects)

Hiring salary is commensurate with experience.- Minimum Qualifications
High School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.
Preferred Qualifications:
Demonstrated skills in Microsoft 365 applications (Outlook, Excel, Word, Teams) and DocuSign.- Job Contingencies and Special Requirements

Attendance at night meetings is required on a rotating basis to support the Board of Supervisors' meetings. May also be required to work early mornings, evenings, and weekends on an as needed basis.
