Medical Administrative Assistant - Pathology Laboratory

Role Overview
As a Medical Administrative Assistant, you'll be the backbone of our administrative operations, ensuring smooth communication between patients, healthcare providers, and our laboratory staff. Your role will be crucial in maintaining the efficiency and accuracy of our pathology services, while ensuring compliance with HIPAA regulations and laboratory policies.
Key Responsibilities
- Manage patient records and laboratory data with utmost confidentiality and precision.
- Handle incoming calls, emails, and inquiries professionally and efficiently; dispatches couriers for specimen pickups; facilitates client requests.
- Assist in preparing and distributing laboratory reports to healthcare providers.
- Coordinate patient appointments and specimen collections with healthcare providers outside laboratory.
- Prepare and enter patient demographic, diagnostic codes, and/or insurance information into Laboratory Information and/or Practice Management systems.
- Under general supervision and according to policies and procedures, perform routine and limited non-routine functions to aid in the preparation of histopathology samples for in-house processing and send out to reference laboratories; and clerical and other duties associated with laboratory.
- Maintain accurate and up-to-date records in compliance with College of American Pathologists (CAP) standards and regulations which involves implementing systems for organizing and tracking critical documents; assist Medical Director in conducting regular internal audits to verify documentation completeness and accuracy, as well as preparing and maintaining CAP-required documentation for laboratory inspections and accreditation in collaboration with laboratory staff; assist in preparing for annual CAP on-site inspections by ensuring all necessary records are readily available and properly organized.
- Maintain inventory of office and medical supplies.
- Function as a medical courier (drives company vehicle for specimen pickup/delivery), as needed.
Qualifications
- High school diploma required; Associate's or Bachelor's degree in Healthcare Administration or related field preferred
- 2 years of experience in medical office administration, preferably in a laboratory or healthcare setting
- Proficiency in Laboratory or other Electronic Information Systems and Microsoft Office Suite
- Strong understanding of medical terminology and HIPAA regulations, preferred.
- Excellent communication and interpersonal skills
- Ability to multitask and prioritize in a fast-paced environment
