Job Title: Administrative Assistant
Job Summary: Provides essential administrative and operational support to ensure the smooth and efficient functioning of the call center. This role includes handling clerical tasks, managing schedules, maintaining records, assisting with reporting, and supporting staff with daily operational needs. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.

Job Duties and Responsibilities:
Administrative Support:
- Assist the Human Resources Director and call center leadership with daily administrative tasks.
- Maintain accurate records, reports, and documentation related to call center operations.
- Prepare and distribute internal communications, memos, and reports as needed.
- Organize and maintain electronic and physical filing systems.
Call Center Operations Assistance:
- Monitor and track staff attendance, scheduling changes, and shift coverage.
- Assist with processing payroll-related documentation such as timekeeping verification.
- Support onboarding of new hires by preparing materials, setting up accounts, and ensuring smooth integration into the team.
- Coordinate meetings, trainings, and staff events, including scheduling, preparing materials, and taking meeting minutes.
Social Media Management & Outreach:
- Assist in managing and scheduling social media content related to helpline services, awareness campaigns, and community outreach.
- Monitor engagement, respond to inquiries, and direct messages appropriately to the relevant department.
- Work with leadership to ensure all social media content aligns with LACG’s messaging and branding.
- Track social media analytics and report on engagement trends.
Data Entry & Reporting:
- Enter, update, and maintain accurate data in call tracking and reporting systems.
- Assist in compiling and formatting reports on call volume, performance metrics, and other key statistics for leadership review.
- Ensure compliance with data security and confidentiality policies.
Communication & Customer Service:
- Serve as a point of contact for internal and external communications related to call center operations.
- Answer and direct calls, emails, and inquiries to the appropriate staff members.
- Provide administrative support for staff by handling requests for supplies, equipment, and resources.
Office Management & Support:
- Manage office supplies inventory and place orders as needed.
- Ensure that office equipment functions properly and coordinate maintenance when necessary.
- Assist in maintaining a clean and organized work environment for the call center team.
Qualifications:
Education:
- High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.
Experience:
- Minimum of 2 years of experience in an administrative or clerical role.
- Experience in a call center, customer service, or non-profit environment is a plus.
Skills & Competencies:
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn call center software.
- Detail-oriented with strong data entry and record-keeping skills.
- Ability to handle sensitive and confidential information with professionalism.
- Strong interpersonal skills and ability to work collaboratively with a diverse team.
Working Conditions:
- Full-time position with standard office hours; flexibility required for occasional evening or weekend meetings or training sessions.
- Primarily office-based work with minimal physical demands.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
