Job Description:
This position will provide support to the Veterinary Teaching Hospital, Small Animal front desk services and operations and will interact daily with clients, faculty, house officers, staff, and students. The employee in this position is responsible for assisting to attend to the needs of the clients at all stages from admissions through discharge. The incumbent will be the first point of contact for all clients entering the Small Animal Clinic. It is essential that this person has prior customer service experience in a veterinary clinic.
Job Responsibilities:
30%- Greet clients upon arrival. Triage emergency patients based on critical status, must be able to identify critical patients and notify emergency services immediately. Professionally communicates with clinicians, staff, and 3rd or 4th year veterinary students to ensure awareness of patient's arrival. Alerts services when clients have been waiting for more than 10 minutes.
30%- Verifying client is in good financial standing with the hospital before intake. For new clients, gather and input client and patient demographics into electronic medical record system. Ensure appropriate client identification is collected and attached, as well as obtaining signatures on all required intake documentation. For established clients, verify and update client and patient demographics, verify appropriate identification has previously been collected and attached, and verifying signatures have previously been collected on all required intake documentation. Collect any pre-appointment documentation a client may present. Print documents and prepare patient out guide for patient appointment as per guidelines of service patient is seeing.
20% - Work with coordinators and medical team to ensure clients are updated through their visits. Provides updates to clients in the event coordinator or medical team is unavailable. Maintain active log of patients currently in the small animal hospital by monitoring and updating the census periodically and notifying coordinators, medical team, and cashiers of patients who left without setting bill.
10% - Manage vending machine and office deliveries. Ensures lobby and magazines are maintained in an orderly fashion.
5% - Provide back up to other client service areas as needed.
5% - Other duties defined by client service supervisor or hospital administration
MINIMUM QUALIFICATIONS:
One year of experience in which clerical work was a major duty.
SUBSTITUTIONS:
Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience.
Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for the required one year of experience.
College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.
NOTE:
Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.
NOTE:
Any college hours or degree must be from an accredited college or university.

SPECIAL OR PHYSICAL QUALIFICATIONS:
Emergency response personnel - These personnel are linked with the hospital during any emergency response event and are expected to report in and perform as outlined in the emergency response plan.
Physical Requirements-Required to be cable of lifting up to 40 pounds, standing or walking for prolonged periods, able to reach and/or climb a ladder, bending, squatting, and/or twisting.
