Under the general supervision of the ULS Business Manager, the position is tasked with providing professional-level administrative support for all business aspects of ULS, including day-to-day management of several financial functions. All duties require a high degree of independence, process coordination, timeliness, confidentiality and initiative.
35% Financial Support Services: Provides support to ULS faculty/staff by procuring items including, but not limited to, promotional materials and processes requisitions/purchase orders/professional contracts through coordination with the Office of Accounting Services and Procurement; reviews invoices from contracts to verify for accuracy; assists manager in preparing budget amendments, internal billings, departmental transactions, and correcting journals to maintain accuracy of ULS accounts; monitors end of year purchases of supplies and equipment to ensure delivery and billing; serves as an accountant-department for ULS accounts; prints copies of monthly telecommunication bills, which includes long distance reports to be signed by each employee; assists in processing Spend Authorizations and Expense Reports for all ULS faculty/staff; serves as back-up for accounts; routinely deposits large quantities of cash/checks from various ULS activities
35% Accounting Support: Manages monthly ledger reconciliation and monitors balances for all ULS departmental accounts; independently makes projections of expenditures and account balances; tracks monthly expenditures for various ULS units and fiscal year end closeout procedures; responsible for reconciling and closing out unrestricted and restricted accounts as part of the fiscal year-end activity
10% Tuition/Fee Management Support: Provides back-up support for all aspects of tuition, billing, and fee collections the University Laboratory School. Including, but not limited to the following: reconciles, processes, and deposits all credit card, check, and cash transactions through various systems (FACTS, PowerSchool, ProCare, CARD, etc...); Creation and maintenance of customer profiles, permission to bill forms, internal fee requests, and refund requests.
10% Customer Support Services: Fields all calls, emails, and in-person correspondence from parents/guardians, school/college faculty and staff, and university administration, as it relates to financial matters.
10% Other Duties Assists with other special projects as requested by the HSE Assistant Dean, ULS Business Manager, and ULS Director
Minimum Qualifications: Bachelor's degree; Some related experience in an office setting
