Job Description:
This position is the primary support contact for all administrative functions of the Department of Economics in the E. J. Ourso College of Business.
JOB RESPONSIBILITIES:
25% - General Support and Customer Service - Manages the daily business operations and administrative services of the department including, but not limited to, procurement, property management, and facilities requests. Manages the department's front office, including handling mail, phones, emails, and assisting office visitors. Keeps meeting minutes when necessary. Supports Department Chair and faculty with ad hoc projects or duties as assigned. Handles confidential data and information with discretion to protect confidentiality. Approve use of department conference room in 25Live.
25% - Budget, Accounting, and Payables - Serves as Cost Center Manager for the department and maintains records of the department's account expenses. This includes coordinating accounts payables, expense reports, employee reimbursements, and monitoring scholarship accounts and professorship accounts associated with the department. Maintains supply inventories, determining needs, ordering and providing control of supplies. Arranges conference travel for faculty, recruits, students, and special speakers or other guests. Prepares reimbursements of travel expenses. Review and maintain accurate budget balances monthly. Monitor and correct accounts before deficits occur.
15% - Human Resource Support - Initiates documents and facilitates processes to centralized HR Analyst for all departmental HR processes, including hiring (job descriptions, hiring justifications, etc.), onboarding (I-9 verification, payment elections, etc.), existing employee support, and termination. Submits payment requests to Dean's Office HR Analyst for one-time or temporary payments needed, such as adjunct or overload teaching and other add comp needs. Works with International Services Office of LSU to resolve visa and work permit issues of faculty and graduate students.
10% - Student Employment Partner - Responsible for interviewing, hiring, training and supervising student workers, creating work schedules, conducting performance evaluations and processing pay adjustments. Submits required documents in Workday for hiring graduate assistants and student workers.
10% - Course Assignments - Coordinates course scheduling and classroom assignments. Monitors course enrollments and course wait-lists. Works with Department Chair to ensure appropriate courses are offered. Oversee credentialing needs for faculty instruction.
5% - Grant Management and Accounting. Works in conjunction with SPA and individual PIs to handle/reconcile the accounting functions for each assigned grant for the Department of Economics (processes requisitions, POs, travel, invoices, and GA and student payroll). Maintains and balances monthly ledgers for each grant. Responsible for a working knowledge of rules and regulations governing accounting, purchasing, and keeping the faculty informed in a timely manner of procedural changes.
5% - Events and Scheduling - Organizes special events and activities for the department, such as conferences, banquets, faculty meetings, and visiting speaker activities. Coordinates schedules and space by booking room reservations through BEC Reservation System, preparing space for events, and organizing responsibilities of others within the department, when needed. Coordinates commencement for the department.
5% - Fundraising and Stewardship - Prepares correspondence to students, alumni, recruiters, etc. Manages the thank you notes process for donations, & works with Department Chair and Advancement team to improve fundraising for the department.
