Job Description:
Manager is responsible for financial operations and reporting, award audit, and grant management. Serves as an approver for the graduate assistant hire process, assists with implementation and monitoring of graduate assistant policies.
Job Responsibilities
Manages the daily business operations for the Graduate School to include responsibility for financial operations, assistantships, awards, fellowships, payroll, procurement, expenses, accounts receivable/payable and other administrative functions as appropriate. Develops, recommends, and implements policies and procedures ensuring compliance with LSU policies. Establishes and maintains cooperative working relationships and coordinates with departments, colleges, and campus support units to ensure accuracy of accounting and program fiscal compliance. 30%
Audits student exemptions, assistantships, fellowships, and awards to ensure adherence to LSU policy. Acts as a second reviewer by double-checking all supporting documentation for award recipients to identify errors or irregularities and verify that recipients met the eligibility criteria. Reconciles the ledgers and Bursar reports to ensure that only approved recipients receive awards for the correct amounts. Prepares reports, including findings, conclusions, and recommendations for improvement of graduate student related operations and compliance. 20%
Reviews graduate assistant hires, transfers, and continuations in Workday for accuracy and completeness. Analyzes regular reports to identify potential issues and recommends corrective action (processing/payroll discrepancies/tuition exemption). Notifies departments of any problems with awards, assistantships, and fellowships, and works with department to resolve issues. Responsible for addressing complaints and resolving a variety of issues relating to the employment of graduate assistants and fellows. 20%
Monitors Graduate School awards, assistantships, and fellowships for policy adherence. Ensures compliance with Federal, State and University policies (PS-21, PS-85, PS-106), rules, regulations, and laws which apply to the employment of graduate assistants. Monitors processes through various campus systems (Workday, Mainframe, Slate, etc.) to ensure that required criteria are met for each award, assistantship, and fellowship, including additional compensation and other types of compensation and/or stipends for the LSU A&M campus. 15%
Prepares grant proposals, to include guidance and assistance in budget preparation and interpretation of funding agency regulations and requirements; reviews proposals for compliance with policies, regulations, procedures, and facilitates documentation requirements. Guides and facilitates the research of funding opportunities for the activities of the unit. Maintains data on funding sources and agency reporting requirements. Manages graduate student research related operational activities. Conducts relevant workshops for graduate students and faculty. 10%
Participates in cross-training to help cover other needs in the Graduate School Finance & Administration Office and other Graduate School units. Contributes to the evaluation of university and Graduate School policies that impact all graduate students. Assists with special projects as assigned by the Senior Assistant Dean of Finance & Administration. Other duties as assigned. 5%
Minimum Qualifications:
Bachelor's degree with 3 years of related experience

Specific Experience: Knowledge of/experience in LSU Policies and Procedures. Familiarity with LSU online systems and/or ease in learning new systems. Experience with Workday strongly preferred.
