Job Description:
The Patient Access Coordinator functions as the initial contact for all incoming patients to the Student Health Center (SHC), including students, spouses, employees (for worker's compensation injuries), campus visitors, and others participating in special camps and programs. The Coordinator is a member of the multi-disciplinary team in the Medical Clinics, including general medicine, gynecology and specialty care. The Coordinator supports both the check-in process, including scheduling and health records, and the check-out process, including accounts receivable. Should have a deep appreciation for a collaborative care model, partnering with all areas of the SHC, and be committed to advancing the divisional priorities of commitment to quality, communicating a sense of home, designing with everyone in mind, and cultivating a working relationship with Our Lady of the Lake Health.
Job Responsibilities
Direct Student Support - 50%
Greets and directs patients and visitors in a friendly, prompt, and helpful manner. Supports a positive patient experience by providing excellent customer service and demonstrating good communication. Checks in patients and initiates patient tracking in Epic and Community Connect. Verifies patient eligibility in Medicat. Checks out patients and accurately records cash, checks, and credit card transactions. Schedules, reschedules, cancels, and confirms in-person and telehealth appointments via telephone or in-person. Completes initial registration for new patients, following established policies and procedures. Maintains accuracy of patient demographics and insurance eligibility by verifying information at each patient encounter. Collects and reviews all patient insurance information needed to complete the benefit verification process, including verifying health insurance information. Manage requests to release Protected Health Information (PHI) verifying identity, confirming multiple unique identifiers, and releasing information exactly as specified.
Quality Control and Customer Care - 45%
Maintains patient confidentiality and a working knowledge of all relevant policies, including HIPAA and eligibility. Monitor incoming faxes as assigned and send outgoing faxes to external providers as requested. Scan documents and medical records to appropriate patient health record as requested. Manages a large volume of inbound and outbound calls in a warm, friendly manner and answers general inquiries related to services, student health portals, and insurance and billing. Accurately and efficiently relays messages.
Other Duties - 5%
Other duties as assigned by the Executive Director, Senior Associate Director, Assistant Director for Budget and Finance, and Patient Access Manager. This includes but is not limited to efforts that support Student Health Center, division and institutional efforts and other special projects.
Minimum Qualifications
- Bachelor's degree

Preferred Qualifications

- Two years of health care office experience.
- General administrative and clerical procedures; Working knowledge of an electronic clinic management/ health record, healthcare and insurance terminology and procedures.

Due to the nature of the position and/or position responsibilities, this position shall be subject to drug/alcohol testing in accordance with University Policy Statement 67/FASOP HR-04.
May be required to work occasional nights and weekends.
In accordance with University Policy Statement 18, this position is considered essential and may be required to report or stay on campus in the event of an emergency or closure.
