An independent physician-owned orthopaedic practice designed to provide an unsurpassed level of care to patients is seeking a Scheduling Specialist to add to our growing team! Our physicians are recognized regionally, nationally and internationally for their skill and expertise by their peers and by their patients. Position Summary: Responsible for greeting incoming calls and scheduling patient appointments for physicians, mid-level practitioners and ancillary services. Answer a multi-line phone system and act as operator routing calls as needed.
Essential Duties and Responsibilities
- Schedule and, as needed, reschedule appointments.
- Relay messages to clinical teams relating to scheduling.
- Follow established protocols for appropriate triage and scheduling.
- Verify established patient demographic and insurance information are accurate prior to scheduling appointments.
- Obtain new patient demographic and insurance information and enter into the Athena EMR prior to scheduling appointment.
- Maintain and update current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed.
- Answer multi-line telephone system, screen and direct calls.
- Provide general information to patients as requested including confirming scheduled appointments.
- Open phone lines each morning by turning off the forward to answering service button.
- Close phone lines at the end of each day and forward calls to the answering service.
- Responsible for collecting voice mail messages and appropriately handling them.
- Create and maintain physician scheduling templates.
- Contact “no show” patients by telephone.
- Perform other related duties as required.
Qualifications, Skills and Knowledge
- Excellent verbal and written communication skills required. Customer service skills that demonstrate empathy, understanding and knowledge of patient concerns and questions.
- Must have knowledge and use of operation of standard office equipment including computer and other job related equipment.
- Work requires continual attention to detail.
- Knowledge of Electronic Health Systems is beneficial.
- Must be able to work in a fast-paced environment with demonstrated ability to prioritize multiple, competing tasks and demands and seek supervisory assistance as appropriate.
- Ability to maintain a high level of confidentiality when handling protected patient information.
- Ability to establish and maintain effective working relationships with patients, team members, physicians and the general public.
Physical Demands/Working Conditions
- Required to sit for long periods of time.
- Frequent use of keyboard, computer and telephone requires hand and manual dexterity.
- Work may be stressful at times.
- Interaction with others is constant and interruptive.
Education and Experience
- High school diploma or equivalent.
- Three years scheduling and/or front office experience in a medical office is preferred.
- Any equivalent combination of experience and training that provides the required knowledge, skills and abilities.
